Parental leave confirmation, Hannah Okafor, Tidewater Creative
Parental leave confirmation letter with the dates and pay split
A parental leave confirmation letter tells an employee exactly when their leave starts and ends, which weeks are paid and how, and what happens on their return. Under the National Employment Standards it is also the employer's record that the notice was received and the dates were confirmed in time.

How to adapt this document
For a partner taking a shorter block of leave, replace the three period table with a single row and add a row for any flexible parental leave days taken later, since those are booked separately with 4 weeks notice. For an employee who does not yet have 12 months of service, check eligibility before confirming and say in the letter which entitlement applies. For an early birth, send a short replacement letter with the new start date and recalculated periods, and keep both letters on file so the change is traceable.
Which law the terms follow
The artifact is written for a Queensland agency covered by the Fair Work Act 2009. The National Employment Standards provide 12 months of unpaid parental leave, the notice and confirmation timing, up to 10 keeping in touch days, the right to request an extension and the return to work guarantee. The 14 weeks of paid leave are the agency's own policy. Parental Leave Pay is a separate government payment administered by Services Australia, which increased to 26 weeks for children born or adopted from 1 July 2026, with some days reserved for a partner where there is one.
What makes this document work
The weeks add up and so do the dates
14 weeks of agency paid leave from 26 October 2026 to 31 January 2027, 4 weeks of annual leave in February, and 34 unpaid weeks from 1 March to 24 October 2027, a total of 52. Each period starts the day after the last one ends, so payroll can enter them without a gap or an overlap.
Government pay is kept separate from the table
One sentence says Parental Leave Pay from the Australian Government is separate, and that the agency pays it through payroll during the unpaid weeks if Services Australia approves it. That stops the employee reading the unpaid rows as no income at all, without the agency promising an amount it does not control.
The return is a date, not a hope
She confirms her return by Monday 27 September 2027 and comes back to her current position on Monday 25 October 2027, with notice of any change to the role while she is away. That reflects the return to work guarantee and the duty to consult about changes.
Questions people ask
How much notice must an employee give of parental leave?
Under the National Employment Standards, at least 10 weeks written notice of the intended start and end dates, unless that is not practicable, then confirmation of the dates at least 4 weeks before the leave starts. This letter records notice on 3 August and confirmation on 25 September for leave starting 26 October.
Is employer paid parental leave required by law?
No. The National Employment Standards give 12 months of unpaid parental leave to eligible employees. Any paid leave from the employer, like the 14 weeks here, comes from a policy, an enterprise agreement or the contract. Government Parental Leave Pay is separate again and is funded by the Australian Government, though the employer usually pays it through payroll.
Can annual leave be taken during parental leave?
Yes, paid leave such as annual leave can be taken during the 12 month period, and it does not extend the total. Here 4 weeks of annual leave sit between the agency paid weeks and the unpaid weeks. Some employees prefer to keep annual leave for after their return, so ask before planning it in.
What are keeping in touch days?
Days an employee on unpaid parental leave can choose to work, such as for training or planning, without ending the leave. Up to 10 are allowed in the first 12 months, never in the first 14 days after the birth, and they are paid for the work done. Either side can suggest one but the employee does not have to agree.
What if the employee wants to extend the leave?
An employee can ask to extend unpaid parental leave by up to a further 12 months, in writing, at least 4 weeks before the original leave ends. The employer can refuse only on reasonable business grounds, after discussing it, and must reply in writing within 21 days.

Acceptance of resignation letter with the last day and final pay
An acceptance of resignation letter confirms the date employment ends and tells the departing employee exactly what they will be paid and what they need to hand back. Done well it settles every practical question in one page, so the last four weeks are about handover rather than queries to payroll.
Fixed term employment contract template with the end date and its reason
A fixed term employment contract template sets a real end date and the reason the job ends then, so both sides know the employment stops without a dismissal. Since December 2023 an Australian contract also has to stay inside the Fair Work Act limits on length and renewal, and the employee must be given the Fixed Term Contract Information Statement.
Probation extension letter with the measures that decide the outcome
Extending probation is only fair if the employee is told why, what has to be true by the new date, and how it will be measured. This letter gives two reasons, three measures with a target and a check for each, the support that makes them reachable, and the date the decision is made.
