Sign a location release online

Signing a location release online has to show that the person granting filming owns the property, which parts of it the crew may use, and how it will be put back. This two page release for three days of filming at a farmhouse near Ballarat has the owner type the areas she wants excluded, sign with her name and date, and the producer sign a four line company block, all before the first filming day.

The film may show the property as a place other than itself. The Producer will not show the street number or anything that would identify the address.

  • Furniture and objects moved are returned to their places from the photos by 8.00 pm on the last filming day.
  • Floors in the kitchen, dining room and verandah are covered with protection boards while equipment is in use.
  • The property is left clean, with all rubbish, cables, tape and set dressing removed.
  • Damage caused by the Producer or its crew is repaired by a tradesperson of the Owner's choice at the Producer's cost, or paid for at the repair quote, within 30 days.

6. Insurance and safety

The Producer holds public liability insurance of $20 million and production insurance covering damage to the property, and gives the Owner a certificate of currency before the preparation day. The Producer's safety supervisor briefs the crew on the property's hazards, including the dam, livestock in the upper paddock and the open fireplace, which is never lit for filming.

7. Cancellation

If the Producer cancels more than 7 days before the preparation day, it pays $500.00. Later than that, it pays half the fee. If the Owner cannot make the property available, the Owner refunds anything paid.

8. Signatures

The Owner confirms they are the owner of the property and are entitled to give this release. The Producer signs second by a person authorised to sign for it.

The signing journey

  1. Step 1

    Five fields, two people

An exclusions line on page 1 and a name, signature and date on page 2 for the owner, and a four line block for the producer.

  2. Step 2

    The owner draws the boundaries

Gretchen types the rooms or areas she wants kept out of bounds. The producer cannot pre fill it, so the limit is hers.

  3. Step 3

    The producer signs second

Sign in order is on. Rafael is invited after Gretchen signs, and types his Title and Company into his block.

  4. Step 4

    Signed before the crew arrives

Both signatures land on 5 October 2026, before the preparation day on Friday 16 October and the first filming day on Monday 19 October.

Every field, and who fills it

Gretchen Abernathy types the areas she excludes, or none, on the ruled line under the areas table on page 1. On page 2 her name fills from her recipient record, she signs, and her date stamps itself. Rafael Duquesne's block beside her prints FOR SILVERGUM PICTURES PTY LTD with his name, the Title and Company he types, and the date. The preparation day, the three filming days, the weather day and the $5,250.00 fee are printed.

How to adapt this envelope

A property owned by two people adds the second owner as a signer with their own name, signature and date. A rented property needs the owner's release, not only the tenant's, so the owner signs first and the tenant can be added second. A production filming at several locations sends one release per property.

Why an electronic signature works here

Australian electronic transactions law accepts an electronic signature that identifies the person and shows their intention by a reliable method. The release gives the producer the right to show the property in the film; the footage itself is the producer's copyright under the Copyright Act 1968, which is why the release lists the uses and media.

What makes this signing flow work

Exclusions in the owner's words

A list of permitted areas is never complete. The typed exclusions line lets the owner name the bedroom, the cellar or the vegetable garden that matter to her, and the signed PDF shows it directly under the producer's own table of permitted areas.

Ownership confirmed above the signature

Only an owner can grant these rights. The declaration on page 2, that she owns the property and may give the release, sits directly above her name and signature, so the producer relies on a statement she signed rather than an assumption.

Signed before the first day on site

A release signed on the morning of the shoot is signed under pressure. The certificate shows both signatures before the preparation day, so the restoration terms and the $5,250.00 fee were agreed while either side could still walk away.

Questions people ask

Who should sign a location release?

The person who owns the property, or who has legal authority to permit filming there. A tenant alone usually cannot grant rights over the building. In this release, the declaration above the signature says the signer is the registered owner and entitled to give the release.

Can the owner sign the location release without meeting the producer?

Yes. Her link arrives by email and she signs in a browser wherever she is, with no account to create. The producer is invited automatically once her signature is stamped, and both of them receive the certified copy by email when his block completes the release.

What if the owner types none for exclusions?

Then the areas in the table on page 1 are all available exactly as listed, and everywhere else on the property is still out of bounds, because clause 2 limits the crew to the listed areas whatever the owner types. Typing none simply means she adds no further limits of her own.

How long does the owner have to sign?

The link is valid for 30 days from when the envelope was created, and the app does not let the producer change that. With a preparation day on Friday 16 October 2026, the release needs to be signed well before then in any case.

What happens if the owner declines the release?

The envelope moves to declined and the producer is emailed with her reason. The producer is never invited and nothing is stamped. Without a release the crew cannot use the property, so the producer either agrees new terms and sends a revised release or finds another location.

What if something is damaged during filming?

Clause 5 makes the producer repair it through a tradesperson of the owner's choice, or pay the repair quote, within 30 days. Every area is photographed before and after the crew is on site, and clause 6 has the producer hold insurance that covers damage to the property.
