1. Parties and the bay

Marchmont House Management Ltd, company number 4410882, of 14 Ferrier Street, called the Licensor, gives Anwen Pryce of Flat 12, Marchmont House, called the Licensee, permission to park one vehicle in bay 37 on the lower ground floor of the building. This is a licence to park, not a lease of the bay, and it gives the Licensee no interest in the land. The Licensor may move the licence to another bay of the same size on seven days' written notice.

3. Access card and gate

  • A lost card is reported the same day. A replacement costs £45 and the old card is cancelled within an hour.
  • The card is not lent to anyone, including another resident, and a card used by somebody else is cancelled.
  • Gate use is logged with the card number and the time, and the log is kept for 90 days.
  • The gate is closed between 23:00 and 06:00 and opens on the card only, not on the intercom.

5. Risk and insurance

The vehicle is parked at the Licensee's risk. The Licensor does not insure it and is not responsible for theft, break in or damage caused by another user, except where the Licensor has been negligent. The Licensee keeps the vehicle insured at least for third party liability and comprehensive damage while it is in the building.

6. Ending the licence

Either side may end this licence on 30 days' written notice. The Licensor may end it immediately if the fee is more than 21 days overdue, if the bay is used for something the table above forbids, or if the Licensee stops living in the building, because the licence is granted on the basis that they do. On the licence ending the Licensee removes the vehicle and returns the access card, and the deposit is repaid within 14 days.

7. General

Notices go to the flat address or to the email address the Licensee has given the building manager. This licence and the car park rules displayed at the ramp are the whole agreement. Nothing in it gives the Licensee exclusive possession of any part of the building.

The signing journey

  1. Step 1

    Four fields on two pages

The licensee takes the registration box on page 1 and a signature and date on page 2. The manager takes a two line block beside them.

  2. Step 2

    Sign in order goes on

The licensee is invited alone, and the building manager has no link until the registration and the signature are in the file.

  3. Step 3

The registration goes in the vehicle table

The box sits inside the table row headed Vehicle registration, so the value lands in the document's own layout rather than on a loose line.

  4. Step 4

    One drawing, one date

The licensee draws once and the date under it stamps itself from the submission. Nothing else is typed on the licensee side.

  5. Step 5

    The card follows the countersignature

The certified copy is emailed to both, and card AC-0518 is handed over against the card deposit the licence records.

Every field, and who fills it

Four fields. The registration box sits in the vehicle table on page 1, beside a cell recording that the make and model are held by the building manager. The signature and the stamped date sit on page 2 in the left column, and the manager's block sits to the right with a role heading and the product default of Name and Date. Everything else is already written: the bay dimensions, the twelve month term, the monthly fee and its annual review, the card deposit, the thirty day notice either side can give, and the table of what may and may not be done in the bay.

How to adapt this envelope

A bay let to a company for a pool car takes a signature block with the company line switched on instead of a bare signature. A second vehicle needs written consent under the licence rather than a second box, which is the point of the single registration. And where the bay comes with an electric vehicle charger on a separate meter, the reading at handover becomes a typed box so the opening figure is the licensee's own entry.

What the signed licence and certificate show

The completed PDF shows the registration typed into the vehicle table on page 1, and on page 2 a signature over the rule the licence prints, a date reading Sep 20, 2026, and the manager's block beside it with the role heading in capitals over two lines. The certificate lists both signers on Email link with an IP address, a consent timestamp and the document hash at signing for each, and the event log shows the two invitations going out one after the other.

What makes this signing flow work

One bay, one registration, one signer

The licence covers a single vehicle and says so, and the registration is typed by the person who owns it. A bay let to a household with three cars is a different arrangement, and the document makes that a consent question rather than something the barrier has to guess.

A licence, not a lease, and the document says so

The first clause states that this is permission to park rather than an interest in land, and that the licensor may move the licence to another bay of the same size on seven days notice. Signing something that short is much easier when the limits are on the first page.

The card is released by the second signature

Putting the manager second means the access card, the gate log and the lobby door all follow a completed licence. With Sign in order on, there is no window in which a card exists against an unsigned bay.

Questions people ask

Is a parking licence a tenancy?

The document says it is a licence to park rather than a lease, and that it gives no interest in the land. That is why the licensor can move it to another bay of the same size on seven days notice and end it on thirty days, which a lease of the same space would not allow so easily.

Why does the licensee type the registration?

Because the barrier reads plates, and because no screen in the application lets a sender pre-fill a value. The registration in the finished PDF is the licensee's own entry, which matters when the licence covers one vehicle and a different car in the bay is a breach.

Can both sides sign remotely?

Yes. Each gets their own link to their own email address, and the portal works on a phone, where the document goes read only below 560 pixels and the typed box moves into a panel above it. The certificate records the IP address each signature came from.

Can the licensee change the registered car after signing?

Not by editing the signed PDF, which is certified and locked. Clause 2 covers a courtesy or hire car with written consent while the registered vehicle is off the road. A permanent change of car is simplest as a fresh envelope with the new registration typed by the licensee, so the barrier record and the signed licence carry the same plate.

What happens if the licensee declines?

The envelope moves to declined, the building manager is never invited, and the sender is emailed with the reason typed into the decline box. No access card is issued and the bay stays available. A revised licence goes out as a fresh envelope.

What happens to the licence if the licensee moves out of the building?

The licence is granted on the basis that they live there, so the licensor may end it immediately. That is written into the ending clause rather than left implied, which is worth doing when the fee is monthly and the bay is worth more than the notice period.
