Rent increase notice acknowledgement e-signature
A rent increase notice only does its job if the agent can show later that the renter received it, and when. This one page notice for 7/22 Lyndhurst Crescent takes three fields from a single signer: a typed box that prints an X beside the words I have received this notice, a drawn signature, and a date nobody types.
The document, with its fields
The pages as a signer sees them, with the signature, name, title and date fields placed where each party has to complete them.
Notice of Rent Increase
To Amara Nwosu and Josh Hendren, the renters of the premises above, from Cordwell Property Group Pty Ltd, ABN 41 663 902 118, of 210 Sydney Road, Brunswick VIC 3056, acting as agent for the rental provider, Halvard Nominees Pty Ltd.
This is written notice that the rent for the premises will increase. The increase takes effect on the date in the table below, which is more than 60 days after the date this notice is given, and no increase has been given for this tenancy in the last 12 months.
The increase
| Current rent | $580 a week, $2,519.17 a month |
|---|---|
| New rent | $620 a week, $2,692.94 a month |
| Increase | $40 a week, 6.9 per cent |
| Date the new rent starts | Monday 1 February 2027 |
| Date this notice is given | Friday 20 November 2026 |
| Last increase | 1 February 2026, 12 months before the new rent starts |
| Bond | Unchanged at $2,519.17, no further bond is required |
How the new amount was worked out
Three comparable two bedroom units within 800 metres were let last quarter at $615, $625 and $630 a week. The premises had its bathroom exhaust replaced and its hot water service upgraded in September 2026, and the new rent sits in the middle of that comparable range.
If the renters think the increase is excessive
A renter who believes the increase is excessive may ask the state consumer affairs regulator to investigate and report on the rent, and may then apply to the tribunal. Doing so does not end the tenancy and is not a ground for a notice to vacate.
Acknowledgement of receipt
The renters acknowledge receiving this notice on the date signed below. Signing acknowledges receipt only. It is not agreement that the new rent is reasonable and it does not give up any right to have the increase reviewed.

The signing journey
Step 1
One page, one signer, three fields
The agent uploads the notice, adds the renter as the only recipient, and drops a signature, a date and a small box onto page 1 under the acknowledgement paragraph.
Step 2
The link opens on the document
The renter is on the plain email link, so no verification card stands in front of the notice.
Step 3
The box is typed, not ticked
A checkbox field is a small input. Anything typed into it prints as a capital X, which is why the line beside it says what the mark means.
Step 4
One drawing, then consent
The renter draws once and agrees that an electronic signature binds like a handwritten one. The submit button reports the missing consent until that is done.
Step 5
Completion lands within the minute
With nobody else to invite, the listener stamps the file, certifies it and emails the certified copy to the renter and the agent.
Every field, and who fills it
Three fields, all on page 1, all the renter's. The small box sits in the right hand column beside the line reading that the notice of rent increase has been received, and prints a capital X. The signature sits under the heading in the left hand column, above the rule the notice already prints, and the date sits below it and fills itself. Nothing above the acknowledgement is signable: the rent figures, the effective date and the three comparable lettings are the agent's statement, and the renter is not asked to agree with any of it. The caption under the box says so in the document rather than leaving it to a covering email.
How to adapt this envelope
Two renters on the agreement means two recipients, each with their own box, signature and date, and the file completes when the second lands. A renter who wants to record an objection gets a text field under the box, which they type themselves, because no screen in the app lets a sender pre-fill a value. And where the notice is handed over at an inspection, the agent can pass the renter their turn in person from the status page, which waives the emailed check for that session and writes an in person event into the trail.
What makes this valid in Australia
The Electronic Transactions Act 1999 allows a signature to be given electronically where the method identifies the person, shows their intention, and is as reliable as the circumstances require. The envelope answers all three: the recipient record carries the name and email the link went to, the consent step records an explicit agreement to sign electronically, and the certificate carries the IP address, the consent timestamp and the hash of the document at the moment it was signed. State tenancy law still sets how much notice an increase needs and how often one may be given, and signing electronically changes neither.
What makes this signing flow work
The X is the receipt, not the signature
A signature alone proves only that somebody signed something. The typed box sits against a sentence naming this notice, so the finished PDF shows an X beside the words the renter read, and the agent holds a receipt rather than an unexplained mark at the foot of a page.
The date cannot be moved
The date stamps itself when the submission lands, and no screen lets a sender or a signer type into it. On a notice that counts only if it was given more than sixty days before the new rent starts, a date nobody can adjust is the reason to send it this way.
One signer means nothing to sequence
The notice has already been given; the renter is confirming receipt. With a single recipient there is no order to enforce and no second invitation waiting on the first, so the envelope goes out and completes in one step.
Questions people ask
Is a rent increase acknowledgement valid when it is signed electronically?
The acknowledgement is evidence of receipt, and electronic signing is accepted for that under the Electronic Transactions Act 1999 where the method identifies the signer and shows intention. The certificate records the email the link went to, the IP address, the consent version and the exact time.
Does signing this mean the renter accepts the increase?
No, and the document says so twice. The paragraph above the signature and the caption under the box both state that signing acknowledges receipt only. A renter who thinks the increase is excessive can still ask the state regulator to investigate and then apply to the tribunal.
Can the renter sign on a phone?
Yes. Below 560 pixels the portal switches to compact mode: the document goes read only and the typed box moves into a Complete your details panel above it, with a Signature 1 of 1 button that scrolls to the spot. The signature is drawn on the canvas with a finger.
How long does the signing link stay live?
Thirty days from the moment the envelope was created. That is fixed and no screen in the app changes it, so a notice sent today expires well before a sixty day increase takes effect. If the renter misses it, a Resend issues a new link and retires the old one.
What happens if the renter declines to sign?
The envelope moves to declined, nothing further is stamped, and the sender is emailed with whatever reason the renter typed. The notice itself is unaffected: it was given when it was given. A declined envelope can still be withdrawn afterwards with a note.
Why is there an X rather than a tick?
The field is a small text input rather than a tick control, and the stamper prints a capital X whenever anything was typed into it. That is why the line beside it is a full sentence: the mark carries no meaning on its own, so the document supplies it.

Sign a storage unit agreement online
To sign a storage unit agreement online, upload it as a PDF, add the customer first and the site manager second with Sign in order on, and place the customer's typed boxes before the signatures. This three page Victorian agreement for unit 214 at Ravenhall takes the vehicle registration for the gate and a mark against the prohibited goods list, because the operator never opens the unit and that list is the building's only protection.
Sign a lease guarantee online
A guarantee is a promise to pay somebody else's rent out of your own money, so the link that opens it should not be enough on its own. This two page deed for the tenancy at Unit 3/88 Barkly Avenue sits behind an access code the agent read out by phone, and asks the guarantor to type their relationship to the renter before initialling the cap.
Sign an entry condition report online
An entry condition report is only worth signing if the tenant can disagree with it in the same file. This six page report for 12B Rosslyn Terrace gives the tenant a typed box in the Renter disagrees column of every room table, and eight of them came back marked before she signed.
