Sign a tutoring agreement online

Signing a tutoring agreement online works best when each side supplies its own details and neither waits for the other: the parent knows the student's year level, the tutor knows their ABN. This two page agreement for ten Tuesday English sessions in New South Wales puts one typed field and one signature in front of each, with both invited at the same moment.

Paid in two invoices: sessions 1 to 5 by Friday 16 October 2026, sessions 6 to 10 by Friday 13 November 2026$350.00 each

The Tutor is not registered for GST, so no GST is charged; each invoice shows the ABN typed above. Invoices are paid by bank transfer within seven days. A short written note on what was covered goes to the Parent after every fifth session.

3. Cancellation

  • By the Parent. A session cancelled by 4.30 pm on the Monday before is not charged and is either credited or made up the same week. A session cancelled later, or missed without notice, is charged in full.
  • By the Tutor. A session the Tutor cancels is never charged, and is made up before Friday 18 December 2026 or refunded.
  • Illness. If Elsie is unwell the Parent cancels as early as possible; a session cancelled for illness before 12.00 pm on the day is not charged.
  • Ending early. Either party may end this agreement with one week's notice by text or email. Sessions paid for and not yet given are refunded within seven days.

5. Child safety

The Tutor holds a current Working with Children Check, number WWC2291847E, and gives the Parent the expiry date so the Parent can verify it online with the Office of the Children's Guardian before the first session. The Tutor tells the Parent straight away if the check is barred or lapses, and no session takes place without a current check. The Tutor is never alone in the house with Elsie, does not drive her anywhere, and contacts her only through the Parent's phone or email.

6. Privacy

The Tutor keeps Elsie's name, year level, school reports the Parent chooses to share, and session notes, only for planning sessions, and deletes them within three months after the last session. Nothing is shared with the school or anyone else without the Parent's written agreement.

7. General

This is the whole agreement for Term 4 2026. A new term needs a new agreement. Nothing in it limits the Parent's rights under the Australian Consumer Law, including the guarantee that the service is provided with due care and skill. It is governed by the law of New South Wales, and each party may sign a separate electronic copy.

The signing journey

  1. Step 1

    Six fields, side by side

One typed field each at the top of page 1, then two signature columns with a date under each on page 2.

  2. Step 2

    Sign in order is off

Both invitations go out together when Send is pressed. Neither signature depends on the other, so neither person waits.

  3. Step 3

    Each types their own detail

Hamish types Elsie's year level; Saskia types the ABN her invoices will carry. Each field belongs to one recipient, so neither can fill the other's.

  4. Step 4

    Completed when both have signed

Each signature is stamped into the working copy as it lands. After the second, the file is certified and emailed to both of them.

Every field, and who fills it

Hamish Coldwell types Elsie's year level into the left field on page 1 and signs the left column on page 2. Saskia Vandermeer types her eleven digit ABN into the right field and signs the right column. Both dates stamp themselves from the signing time. Everything else is printed: the Tuesday 4.30 pm session, the $70.00 rate, two invoices of $350.00, the Working with Children Check number WWC2291847E, and the session dates from 13 October to 15 December 2026.

How to adapt this envelope

A tutor running several students sends one envelope per family, each with that student's details printed. If the parent should agree before the tutor commits a time slot, switch Sign in order on and put the parent first. A tutor registered for GST adds GST to the rate table and keeps the ABN field, since the tax invoice must show it.

What makes this valid in Australia

The Electronic Transactions Act 1999 and the New South Wales equivalent accept an electronic signature that identifies each person and shows their agreement by a reliable method. The agreement is a consumer contract, so the Australian Consumer Law guarantees in the Competition and Consumer Act 2010 apply to the tutoring whatever the agreement says, which clause 7 repeats.

What makes this signing flow work

The ABN comes from the tutor

Clause 2 says the invoices show the ABN typed above. Making it the tutor's own field means the number on the agreement is the number she gave, which is what the parent needs to check her registration on the Australian Business Register.

Parallel signing for a two sided deal

A tutoring agreement does not need one party to go first. With the order off, both links arrive together and the agreement completes as soon as the second person signs, which here took minutes rather than an evening of relay.

Two short pages, every term date listed

The ten Tuesday sessions are printed as a table, so the signed copy settles which dates the $700.00 covers. A missed session can be checked against the table and the cancellation rules in clause 3 without a separate schedule.

Questions people ask

Does a tutoring agreement need to be signed by both parties to count?

An agreement can exist without signatures, but a signed copy is far easier to rely on if a fee or a cancellation is disputed. Here both parties sign the same page, and the certified PDF shows both signatures, both dates and the two typed details.

Can the parent and the tutor sign on different devices?

Yes. Each has their own link, sent to their own email, and signs in a browser without creating an account. Because the order is off, they can sign in either order, from anywhere, and the agreement completes when the second signature lands.

Why does the tutor type the ABN instead of printing it?

So the number in the agreement is the one the tutor vouches for in her own signing session, not one copied by someone else. The parent can then look it up on the Australian Business Register and match it to the invoices clause 2 describes.

How long can a tutoring agreement sit unsigned?

Thirty days from the envelope's creation, after which the links expire. The app gives the sender no way to shorten or extend that. For an agreement like this, which starts on Tuesday 13 October 2026, the practical deadline is the first session.

What if the parent declines the tutoring agreement?

The envelope moves to declined and the tutor is emailed with the parent's reason, if they gave one. Nothing is stamped, even if the tutor had already signed. The tutor can discuss it, withdraw the envelope and send a revised agreement.

Is a Working with Children Check number enough to verify a tutor?

The number lets the parent check the clearance online with the Office of the Children's Guardian, which is why clause 5 gives it with the expiry date. The agreement also limits contact to the parent's phone and email and keeps an adult at home during sessions.
