Sign an after school care agreement online
An after school care agreement signed online has to settle who may collect the child at 6 pm and what happens when nobody comes. This three page enrolment for a Year 2 child at a Canberra outside school hours care service has the parent type two authorised collectors, type an X to acknowledge the late pickup fee, and sign, with the coordinator countersigning the same day.
The document, with its fields
The pages as a signer sees them, with the signature, name, title and date fields placed where each party has to complete them.
After School Care Enrolment Agreement
This agreement enrols a child in after school care at Lantern Lane OSHC for Term 4 2026. It records the days booked, the fees, the late pickup fee and the people the parent authorises to collect the child. The parent types the collectors and acknowledges the late fee on page 2 and signs on page 3; the service coordinator signs last.
1. The parties and the child
| Service | Lantern Lane OSHC, operated by Lantern Lane Community Care Inc. Service coordinator: Farid Haddington |
|---|---|
| Parent | Corinne Wexley, 37 Banjine Street, Galloway Park ACT 2606, 0423 651 088 |
| Child | Milo Wexley, Year 2, class 2K, Galloway Park Primary School |
| Start date | Monday 12 October 2026 |
| End date | Friday 18 December 2026 |
2. Days booked and fees
The after school session runs from the end of the school day at 3.00 pm until 6.00 pm. Educators collect Milo from his classroom at 3.00 pm, and the session includes afternoon tea, homework time, outdoor play and a planned activity.
| Day | Session | Fee per session |
|---|---|---|
| Monday | 3.00 pm to 6.00 pm | $34.00 |
| Tuesday | 3.00 pm to 6.00 pm | $34.00 |
| Thursday | 3.00 pm to 6.00 pm | $34.00 |
| Weekly fee, before Child Care Subsidy | $102.00 | |
A booked session is charged whether or not Milo attends, including when he is away sick, because educators are rostered to the bookings. A casual session on another day can be booked through the parent app when a place is free, at $38.00.
3. Child Care Subsidy
This agreement is the complying written arrangement for the enrolment. The service lodges an enrolment notice with Services Australia, and the parent confirms it in their online account. Any Child Care Subsidy is paid to the service and passed on as a reduction in the weekly fee; the parent pays the gap. The subsidy rate is worked out by Services Australia, not by the service.
4. Payment
Fees are invoiced every Monday for the previous week and paid by direct debit on the Thursday. A debit that fails is tried again after seven days. The service talks to the parent before any amount is three weeks overdue.
5. Notice
The parent may change or cancel booked days with two weeks' notice through the parent app. Sessions in the notice period are charged. The enrolment ends on the end date unless the parent re enrols for 2027.
6. Collecting Milo, and who may
Milo is released only to the parent or to an authorised collector named below, or to a person the parent names by phone on the day, whose photo identification is checked at the sign out desk. Every collector signs Milo out on the service tablet with the time.
The parent types the authorised collectors in their own signing session, as full name, relationship to Milo. The service cannot fill these in. Each collector is also an emergency contact.
A collector must be 16 or older. A change to this list is made in writing through the parent app and takes effect when the coordinator confirms it. A court order affecting who may collect Milo is given to the coordinator and followed by every educator from the day it is received.
7. Late pickup
The service closes at 6.00 pm, and two educators stay with any child still at the service. A late pickup fee applies so that the cost of that time is not shared by other families.
| Collected | Late pickup fee |
|---|---|
| 6.01 pm to 6.10 pm | $15.00 |
| Each further 10 minutes or part of 10 minutes | $15.00 |
If a parent is running late, they call the service on 02 6281 4422 before 6.00 pm. If nobody has collected Milo by 6.30 pm and neither the parent nor a collector can be reached, the coordinator contacts the child protection service for advice. A late pickup fee is added to the next invoice and is not covered by the Child Care Subsidy.
To acknowledge the late pickup fee, the parent types an X in the box below. The enrolment cannot be completed without it.
| X | Acknowledgement |
|---|---|
| I understand the late pickup fee in clause 7 and that it is not covered by the Child Care Subsidy. |
8. Walking from class
Educators collect Milo from his classroom door at 3.00 pm. If he is not there, they check with his teacher and the school office straight away and call the parent if he cannot be found within ten minutes.
9. Health, medication and incidents
The service uses the medical information on Milo's school enrolment record, which the parent has agreed may be shared with the service, and the parent tells the coordinator of any change. Medication is given only with a completed medication record. Any injury, illness or incident is recorded and the parent is told the same day.
10. Behaviour
Educators guide behaviour positively, in line with the school's expectations. If Milo's behaviour puts himself or others at risk, the coordinator meets with the parent to agree a plan before any other step is taken.
11. Policies and complaints
The parent has been shown where to find the service's policies, including delivery and collection of children, fees, and complaints. A concern goes first to the coordinator, who replies within five business days, and may then go to the ACT's regulatory authority for education and care services.
12. Parent's declaration
I hold parental responsibility for Milo Wexley. I agree to the days booked and the fees in clause 2, I have typed the authorised collectors and acknowledged the late pickup fee on page 2, and I will keep the service informed of changes.
13. Service's acceptance
The service accepts the enrolment of Milo Wexley on Mondays, Tuesdays and Thursdays from Monday 12 October 2026, and will lodge the enrolment notice with Services Australia once this agreement is signed.

The signing journey
Step 1
Six fields, two people
Two collector fields and a late fee box on page 2, a signature and a date on page 3, and one block for the coordinator.
Step 2
Collectors in the parent's words
Corinne types each collector as a name and a relationship. Each field carries a label, so she knows what goes where.
Step 3
The late fee box is required
The portal will not finish until something is typed in it. Any value prints as an X on the signed PDF.
Step 4
The coordinator signs the same day
Sign in order is on. Farid is invited the moment Corinne's signature is stamped, and signs the same day, which the certificate shows.
Every field, and who fills it
Corinne Wexley types two authorised collectors on page 2, each with a relationship to Milo, then types an X in the late pickup acknowledgement box below the fee table. On page 3 she signs and her date stamps itself. Farid Haddington's block beside her signature prints FOR LANTERN LANE OSHC with his name and the date. The Monday, Tuesday and Thursday sessions at $34.00, the $102.00 weekly fee, and the $15.00 per 10 minutes late fee after 6.00 pm are printed.
How to adapt this envelope
A service that also runs before school care adds a second row of sessions to the fee table; the fields stay the same. A family with joint custody can add the second parent as signer two, with their own collector fields. A service that wants more collectors adds more text fields, though two typed names plus the parent cover most families.
What makes this valid in Australia
The Electronic Transactions Act 1999 and the ACT's own electronic transactions law accept an electronic signature that identifies the signer and shows their intention reliably. As with long day care, the signed agreement is the complying written arrangement for the enrolment, and the parent confirms it in their Services Australia account before Child Care Subsidy is paid.
What makes this signing flow work
A required box for a fee families forget
Late pickup fees cause more disputes than session fees, because they arrive unexpectedly. Making the acknowledgement a required checkbox means no enrolment completes without the parent typing an X directly beside the wording that the fee is not covered by the Child Care Subsidy.
Two collectors, typed and signed
Educators at the sign out desk need to know who may take Milo home. The two names on page 2 were typed by his parent in her own session and stamped into the certified PDF, so the service's list rests on her signed words.
Same day acceptance
The service lodges the enrolment notice with Services Australia once the agreement is signed. With the coordinator invited automatically after the parent, the agreement completed on the day it was sent, and the enrolment could be lodged straight away.
Questions people ask
Is an after school care enrolment valid if signed online?
Yes. Australian electronic transactions law accepts an electronic signature that identifies the parent and shows their intention by a reliable method. The certified PDF records the days, fees, collectors and the late fee acknowledgement exactly as signed, and the certificate records each signer's email and time.
Can a parent sign the OSHC agreement on a phone?
Yes. On a narrow screen the portal moves the typed fields, here the two collectors and the late fee box, into a panel above the document, so the parent fills them in without zooming, then signs once. No account or app is needed, only the link in the invitation email.
Why is the late pickup checkbox required when others are optional?
Because it is an acknowledgement, not a choice. The enrolment should not complete unless the parent has seen the fee, so the box is required and the portal will not let her finish with it empty. Optional boxes suit consents a parent may refuse.
What if the parent does not sign before the first session?
The envelope remains open for 30 days from when it was created, and the app gives the service no way to change that. Before then the coordinator can resend the invitation, which goes to the same email address with a new link.
What happens if the parent declines the agreement?
The envelope moves to declined and the service is emailed with any reason the parent gave. The coordinator is never invited and nothing is stamped, so no enrolment is lodged with Services Australia. The service can talk to the family and send a revised agreement.
Can the parent add a third collector later?
Not to the signed PDF, which is certified and cannot be changed. Clause 6 says changes to the collector list are made in writing through the parent app and take effect once the coordinator confirms them, and a collector must be 16 or older.

Sign a childcare enrolment agreement online
To sign a childcare enrolment agreement online, the parent has to supply the facts only a parent can give, the people allowed to collect the child and the consents for photos and sunscreen, before the centre accepts. This five page agreement for a three year old at a South Australian long day care centre has the parent type three pickup names, choose two consents as typed X marks and sign, and the director signs after.
Sign a student code of conduct online
Signing a student code of conduct online is an acknowledgement, not a contract: the school needs to show that the student read the rules and that a parent read them too, each in their own name. This six page Queensland code ends with two columns on the last page, the Year 10 student signing first from a school email and the parent second from her own.
Sign a scholarship acceptance online
Signing a scholarship acceptance online has to prove the student agreed to the conditions, especially repayment on withdrawal, and not just to the money. This three page offer of a $4,200 summer research scholarship at a Tasmanian university has the student initial all seven conditions, type a student number and sign behind an emailed code, with the scholarships officer countersigning.
