Training workshop proposal
Training workshop proposal priced per participant
A training workshop proposal should show the client what their people will practise, how the day is tailored, and how the price changes with the number of people in the room. This example from a Gold Coast training company to a property management agency prices a one day workshop for 18 at $7,780 plus GST, with participant numbers the client can set between 12 and 24.

What a buyer of training wants to see
The person who approves a training budget is rarely the person who will attend. They want to know three things: that the day will deal with their team's real problems, that the team will actually change how it works, and what it will cost for however many people turn up. This proposal answers the first with tailoring, two calls and scenarios built from the agency's own cases. It answers the second with practice, most of the day in role plays coached by two facilitators, and a follow up clinic a month later. It answers the third with a pricing table where only one line changes with numbers. For a property agency the problem is also a safety one: dealing with distressed or aggressive tenants is a recognised psychosocial hazard, and training is one way an employer manages it.
How the per participant pricing works
The fixed lines are design and tailoring at $1,600, the day at $3,900 and the follow up clinic at $750: $6,250 whoever attends. Participant packs are $85 each with 18 as the default, so the default subtotal is $7,780 and the total with GST is $8,558. The client can set participants anywhere from 12, where the subtotal is $7,270, to 24, where it is $8,290. The optional manager briefing adds $600. The 30% deposit is calculated on whatever is accepted and holds the date. Clause 2 says the balance invoice uses the number confirmed seven days before the workshop, which stops a late drop out turning into a dispute.
How to adapt this proposal
Price the parts that do not change with numbers separately from the parts that do. If you charge a flat day rate regardless of headcount, say what the maximum group size is, since a role play workshop for 40 is a lecture. Write the needs section around the conversations or tasks the team finds hardest, in their language. Put the room requirements in the proposal so nothing is missing on the day. If the training touches on legal rules, as tenancy conversations do, point participants to the regulator's guidance rather than teaching the law yourself, and say so in the scope.
What makes this proposal work
Scenarios come from the client's own cases
The approach turns real tenancy and owner cases into four role plays, sent for approval on 16 November before the day. Property managers practise conversations they will recognise, which is the reason in house training beats a public course.
Headcount moves only one line
Design, the day and the clinic are fixed at $6,250; only the $85 pack changes with numbers, from 12 to 24. Clause 2 fixes the count 7 days out, so the client knows the most the day can cost before accepting.
The learning does not end at 4 pm
A 90 minute clinic four weeks later works through conversations people have had since. It is priced on its own line at $750, so the client sees it as part of the result, not a sales call.
Questions people ask
What should a training workshop proposal include?
The team's situation and the skills to build, how the content is tailored, the format of the day, what participants receive, follow up, the date and timeline, the price including how it changes with numbers, and terms for final numbers, postponement and cancellation. This example covers each in five pages after the cover.
How do you price a corporate training workshop?
Separate the fixed costs from the per person costs. This example prices design at $1,600, the facilitated day at $3,900 and a follow up clinic at $750, then $85 per participant for packs. At 18 participants that is $7,780 before GST, and the client can see exactly what each extra person adds.
How many people should attend a practical workshop?
For role play based training, small groups matter more than the total. This proposal plans three groups of six with two facilitators and lets the client set 12 to 24 participants. Above that, the facilitators cannot coach every conversation, and the day becomes a presentation instead of practice.
What if participant numbers change after accepting?
Agree a cut off. Clause 2 of this proposal confirms final numbers seven days before the workshop and uses that number for the balance invoice. Before accepting, the client sets the expected number in the online proposal and the total and deposit recalculate on the spot.
Should a workshop proposal include follow up?
Yes, if you want the training to change behaviour. This example includes a 90 minute online clinic four weeks after the day, priced at $750, where participants work through real conversations they have had since. Without follow up, most of what is practised on the day fades within weeks.

Grant writing proposal on a fixed fee with no success fee
A grant writing proposal should show the organisation what will be written, by when, against which criteria, and make clear the fee does not depend on the result. This example from a regional grant writer to a Landcare group seeking a two year river restoration grant prices the work at $5,350 plus GST, with no success fee and an acquittal report as an option.
Coaching package proposal for a six month executive program
A coaching package proposal tells the person paying what the coachee will work on, how progress will be visible, and what stays confidential. This example from an executive coach to a logistics company prices six months for a new operations director at $8,580 plus GST, with the number of sessions editable from 10 to 16.
Website design proposal example with an optional SEO add on
A website design proposal has to show the client what is wrong with the site they have, what the new one will do about it, and what each part costs. This example from a design studio to a three clinic physiotherapy practice opens with the practice's own analytics, prices the redesign at $19,850 plus GST, and leaves local search setup and a monthly care plan as options the client can tick.
