Letter of authorisation, Redstone Joinery, AUTH-2027-06

Letter of authorisation template with a scope and an expiry date

An authority to act is dangerous when it has no edges, because whoever reads it decides for themselves how far it goes. This one page letter names one person and how to check them, lists four things the authority does not cover, runs from 1 October 2027 to 31 March 2028, and says in a callout exactly how it is cancelled.

26 September 2027
To whom it may concern, for parcel carriers and depot staff
Dear Sir or Madam,

Authority for Ms Talia Brennan to collect parcels for Redstone Joinery

I am the director of Redstone Joinery Limited and I authorise the person below to collect parcels, freight and registered post addressed to the company, and to sign for them.

Authorised person
Ms Talia Brennan, Workshop Coordinator, driver licence ending 4471
Authority runs
1 October 2027 to 31 March 2028

The authority covers collecting parcels and freight addressed to Redstone Joinery Limited, signing the carrier’s receipt, and paying a holding fee of up to $60. It does not cover opening an account, changing a delivery address, or anything addressed to a person rather than the company.

How this authority ends
It ends on 31 March 2028 without anything further being done, may be cancelled before then by written notice from me, and ends immediately if Ms Brennan stops working for the company. A carrier that is unsure should call 08 8291 4400 and ask for the director.

Please ask to see photographic identification before releasing anything.

Yours faithfully,

Oskar Delaine, Director, Redstone Joinery Limited

How to adapt this document

For an authority to speak to a supplier or a utility about an account, replace the collection wording with the specific account number and say whether the person may change anything or only ask questions, because most disputes about these letters are about a change nobody meant to authorise. For an authority that will be used once, drop the date range and name the single transaction and its date, which is safer than a window and removes any need to revoke it. For an authority given to someone outside the business, such as a broker or a freight forwarder, add a line saying the authority does not make them an agent for any other purpose and does not let them bind the company to a contract.

What makes this document work

The authority has four things it does not cover

It does not cover opening an account, changing a delivery address, or anything addressed to a person rather than the company. A letter that only lists what someone may do leaves everything else to the judgement of a depot clerk who has never met either party.

Identification is named, not assumed

The key values block gives the person, her role and a driver licence ending in 4471, and the closing line asks the carrier to see photographic identification before releasing anything. Naming a partial licence number lets a carrier check without the letter carrying a full identity document.

Three ways it ends, one of them automatic

It expires on 31 March 2028 with nothing further being done, may be cancelled before then by written notice from the director, and ends immediately if the employee leaves. The callout also gives a phone number and tells an unsure carrier to call rather than rely on the letter.

Questions people ask

What is a letter of authorisation?

A written statement by one person or business that another person may do a specific thing on their behalf. It is not a contract and it grants nothing beyond what it names, which is why the scope paragraph and the expiry date matter more than the wording of the authority itself.

Is a letter of authorisation the same as a power of attorney?

No. A power of attorney is a formal legal instrument, usually made in a prescribed form and often registered, that lets someone act in your personal or financial affairs. A letter like this one is a narrow business authority for a named task, and no substitute where a formal appointment is required.

Should a letter of authorisation have an expiry date?

Always. This one runs from 1 October 2027 to 31 March 2028 and ends on that date without anyone doing anything. An open ended authority sits in a depot folder long after the person has left, and the business that wrote it has no way of knowing it is still being relied on.

How do you revoke a letter of authorisation?

By written notice to whoever holds it, which is what the callout provides for here, and by asking for the letter back. This one also ends automatically if the employee stops working for the company, so a resignation does not leave a live authority in circulation while someone remembers to write.

What identification should the letter include?

Enough to verify the person, and no more. A name, a role and a partial licence number is the usual balance, as here. Copying a full identity document into a letter that will sit in a depot creates a privacy problem, and under the Australian Privacy Principles personal information collected has to be handled and stored with care.

Who should sign a letter of authorisation?

Someone with authority to bind the business, and the letter should say what their role is. Here it is the director, and the signature block carries his name, his title and the company. A letter signed by the same person who is being authorised is worth nothing to the party relying on it.
