Sign a quote online
When a customer signs a quote online, acceptance stops being a phone call and becomes a certified file. This page shows quotation QTE-2026-338 from the documents examples, Copperfield Bathrooms' $34,780 renovation at 14 Selwyn Street, Hawthorn, accepted by Alana Reid in the For the Client block and then countersigned by the builder, with the status page showing each step as it happened.

The signing journey
Step 1
Seven fields under the acceptance statement
The builder uploads the three page quotation. Page 3 ends with Alana's acceptance statement and two blocks: For the Client with Name and Date lines, and For Copperfield Bathrooms Pty Ltd with Name, Title and Date lines. Alana gets a signature, a name and a date; the builder's own recipient gets a signature, a name, a typed title and a date. Sign in order is on.
Step 2
The builder watches the badges
From the status page the customer's badge starts at Waiting, flips to Viewed the moment she opens the link, and lands on Signed when she submits. No identity check was set for a quotation; the emailed link is the whole door.
Step 3
The customer accepts
Alana reads the eight scope lines, the $34,780.00 total, the payment schedule and the terms, then signs. The name field was already filled from the invitation and the date stamped itself as Sep 2, 2026, inside the quote's 30 day validity from 18 August.
Step 4
The builder countersigns
Only then is Copperfield's recipient invited. Their signature, typed title and stamped date fill the second block, and the deposit of $1,739.00 falls due under the payment schedule.
Step 5
Acceptance becomes a certified file
On the second submission the listener certifies the PDF and emails the completed quotation to both signers and the sender. The certificate records both signers, their consent timestamps and the full event log.
If the quote has to be withdrawn
A quotation superseded by a revision is withdrawn from the status page with an optional note. Withdrawing voids the envelope, kills the live link so it answers that the document was withdrawn by the sender, and emails everyone still holding an invitation. The statement of work example shows a real withdrawn first version with its reason; the mechanics for a quote are identical. A completed envelope cannot be withdrawn, so revisions have to beat the signature.
What the signed PDF and certificate show
The accepted quotation shows the drawn signature under the acceptance statement, Alana's printed name and stamped date in the For the Client block, and the builder's name, typed title and stamped date in the Copperfield block. The certificate carries the envelope id, a signer entry for each with Email link verification, IP address and consent timestamp, the hash of the file as sent and the hash after stamping, and the event log ending at Signed.
How to adapt this envelope
A commercial client who needs a purchase order number on the accepted quote gets an optional text field beside their block, labelled Your order reference, which they type themselves. A quote with a provisional sum might add a checkbox for the customer to acknowledge it. For quotes above a delegation threshold on the customer's side, add another customer signer ahead of the builder, the way the purchase order example routes an authoriser before the supplier.
What makes this signing flow work
Acceptance is a signature, not a reply
The record of this job is a certified PDF with stamped dates, not a thumbs up buried in a text thread. When the $1,739.00 deposit invoice goes out, it references a document both sides hold as the same certified file.
Both blocks on the quote get filled
The quotation prints a block for the client and one for Copperfield Bathrooms. Filling both, in order, means the certified copy shows the customer's acceptance and the builder's confirmation on the same page, rather than a countersignature line left blank on the document everyone files.
The sender sees movement, not silence
Waiting, Viewed and Signed are three different pieces of information when a 5 October start date is at stake. A quote sitting on Viewed for three days invites a phone call. One still on Waiting can be chased with Resend, which sends a fresh link to the same stored address; a mistyped address needs the envelope voided and a new one sent.
Questions people ask
Does the customer have to verify their identity?
Not on this envelope. A quotation is an offer the sender wants accepted, so the emailed link is enough friction. Where the stakes justify it, the same envelope can require an access code or an emailed one-time code per recipient.
Can the customer change the price or scope?
No. The PDF is fixed once sent, which protects both sides from a quietly edited quote. A customer who wants changes declines with a reason, which moves the envelope to declined and emails the builder that reason. The builder revises QTE-2026-338, and a fresh envelope goes out with its own link and certificate, while the declined one stays on record.
What does the builder see while waiting?
A badge per recipient: Waiting until the link is opened, Viewed once it has been, Signed when acceptance lands. The audit trail beneath shows the same movements with timestamps, and the completed envelope adds the download links for the signed file and certificate.
Can the builder withdraw after acceptance?
Not once both signatures are in. Withdrawal is refused on a completed envelope, because a signed acceptance is exactly the thing withdrawal must not be able to erase. Before that, including the gap between Alana's signature and the countersignature, withdrawing voids the envelope, kills any live link and emails whoever had not yet signed.
Is the accepted quote a binding contract?
The envelope gives you the evidence: a signed, certified copy of precisely what was accepted and when, with both signers in the certificate. Whether that acceptance forms a contract, and what Victorian domestic building law layers on top, including limits on deposits and the written contract it requires above a threshold, depends on the job, so check the Consumer Affairs Victoria guidance.
What happens if the invitation email bounces?
A failed delivery is recorded in the audit trail as Invitation email failed, so the builder is not left guessing. Resend only sends a fresh link to the same stored address, so a bounce caused by a typo needs the envelope voided and a new one sent to the corrected address. The void is recorded too, and the old link stops working.
