Sign a quote online
When a customer signs a quote online, acceptance stops being a phone call and becomes a certified file. This page shows the 14 Selwyn Street bathroom quotation from the documents examples accepted by the homeowner with a single signature, an optional order reference she typed herself, and the status page the builder watched change as it happened.

The signing journey
Step 1
Four fields on the acceptance page
The builder uploads the two page quotation and places a signature, a name, a date and one optional text field labelled Your order reference on the acceptance section. Marking the reference optional means the quote can complete without it.
Step 2
The builder watches the badges
From the status page the customer's badge starts at Waiting, flips to Viewed the moment she opens the link, and lands on Signed when she submits. No identity check was set for a quotation; the emailed link is the whole door.
Step 3
The customer types her own reference
Alana typed Reid renovation 2026 into the reference field, so her filing label is on the accepted quote in her own words. The name field was already filled from the invitation and the date stamped itself as Sep 2, 2026.
Step 4
Acceptance becomes a certified file
On submission the listener stamps the page, certifies the PDF and emails the completed quotation to the customer and the builder. The certificate records one signer, the consent timestamp and a seven event log from Envelope created to Signed.
If the quote has to be withdrawn
A quotation superseded by a revision is withdrawn from the status page with an optional note. Withdrawing voids the envelope, kills the live link so it answers that the document was withdrawn by the sender, and emails everyone still holding an invitation. The statement of work example shows a real withdrawn first version with its reason; the mechanics for a quote are identical. A completed envelope cannot be withdrawn, so revisions have to beat the signature.
What the signed PDF and certificate show
The accepted quotation shows the drawn signature over the acceptance statement, the printed name, the stamped date and the typed reference. The certificate carries the envelope id, one signer entry with Email link verification, IP address and consent timestamp, the hash of the file as sent and the hash after stamping, and the event log ending at Signed.
How to adapt this envelope
A trades quote with a deposit clause might make the reference field required instead of optional, or add a checkbox for the customer to acknowledge the provisional sums. For quotes above a delegation threshold on the customer's side, add a second signer in order, the way the purchase order example routes a requester and an approver.
What makes this signing flow work
Acceptance is a signature, not a reply
The record of this job is a certified PDF with a stamped date, not a thumbs up buried in a text thread. When the deposit invoice goes out, it references a document both sides hold in identical, hash verified form.
The reference is typed by the customer
The optional field put the customer's own label on the acceptance. For a commercial client this is where a purchase order number lands, typed by the person whose accounts system will need to match it later.
The sender sees movement, not silence
Waiting, Viewed and Signed are three different pieces of information when a start date is at stake. A quote sitting on Viewed for three days invites a phone call; one still on Waiting suggests the email went astray and a resend would rotate the link.
Questions people ask
Does the customer have to verify their identity?
Not on this envelope. A quotation is an offer the sender wants accepted, so the emailed link is enough friction. Where the stakes justify it, the same envelope can require an access code or an emailed one-time code per recipient.
Can the customer change the price or scope?
No. The PDF is fixed once sent, which protects both sides from a quietly edited quote. A customer who wants changes declines with a reason, the builder revises the document, and a fresh envelope goes out.
What does the builder see while waiting?
A badge per recipient: Waiting until the link is opened, Viewed once it has been, Signed when acceptance lands. The audit trail beneath shows the same movements with timestamps, and the completed envelope adds the download links for the signed file and certificate.
Can the builder withdraw after acceptance?
No. Withdrawal is refused on a completed envelope, because a signed acceptance is exactly the thing withdrawal must not be able to erase. Up until the signature lands, withdrawing voids the link cleanly and notifies the customer.
Is the accepted quote a binding contract?
The envelope gives you the evidence: a signed, certified, hash verified copy of precisely what was accepted and when. Whether that acceptance forms a contract, and what consumer building law layers on top, depends on your jurisdiction; the Victorian document here notes its own deposit rules.
What happens if the invitation email bounces?
A failed delivery is recorded in the audit trail with its own labelled event, so the builder is not left guessing. Pressing Resend issues a fresh link to a corrected address and appends a resent event; the old link stops working at that moment.
