Signing a lease online means one envelope, three signers and no waiting: both tenants and the landlord are invited at once and can sign the same afternoon. This three page tenancy agreement for 2/14 Marlow Street carries thirteen fields, initials for everyone on the first two pages, and an access code for each tenant that the agent read out by phone.

Rental provider obligations

  • Provide the premises vacant, reasonably clean and in good repair, with working locks on every external door.
  • Carry out urgent repairs as the law requires, using the nominated tradespeople listed with the agent.
  • Give proper notice before any entry, and lodge the bond with the authority.
  • Provide the required condition report before the term starts, in duplicate.

Condition report and keys

Two full key sets and one storage cage key are handed over at the start. The condition report is completed by the agent before 1 October, and the renters return their signed copy within five days of moving in. The photographs attached to the report form part of it.

Notices

Notices to the renters go to the premises or the email addresses on the application; notices to the rental provider go to the agent. Anything the law requires on a prescribed form is given on that form. A notice sent by email is taken to be received the business day after it is sent.

Execution

Signed by both renters and by the rental provider. Each renter's date is stamped on the day they sign; the agreement is made when the last signature lands and the agent then sends the countersigned copy to everyone.

The signing journey

  1. Step 1

    One envelope, three colours

    The agent uploads the lease, adds the three recipients and places thirteen fields. Each recipient's fields render in their own colour in the editor, so renter 1's initials are never confused with the landlord's even where they sit side by side.

  2. Step 2

    The Sign in order switch goes off

    Nothing about a lease requires a sequence, so the switch is turned off and all three invitations go out together the moment Send is pressed. The status page shows three Waiting badges.

  3. Step 3

    Each tenant unlocks with a code

    The emailed link alone is not enough for the tenants. Each link opens a Verify it is you card asking for the access code the agent gave them by phone. Five wrong attempts locks that signer out for fifteen minutes; the app never emails the code.

  4. Step 4

    Three spots each, one drawing each

    Every signer draws once and the portal fills their two initials spots and their signature from it, walking them through with a Signature n of 3 header. The tenants also type their emergency contacts, and every date on page 3 stamps itself.

  5. Step 5

    Completion goes to all three

    When the last signature lands the listener stamps the file, certifies it, and emails the certified lease to both tenants, the landlord and the agent. The certificate shows access code verification against the tenants and a plain email link against the landlord.

What the signed lease and certificate show

The completed PDF carries three sets of initials on each of the first two pages, both tenants' signatures with stamped dates on page 3, the typed emergency contacts on page 1, and the landlord's block reading THE RENTAL PROVIDER with her name and date. The certificate lists all three signers, two verified by Email link + access code and one by Email link, with seventeen events from Envelope created to the third Signed, each hash chained to the one before it.

How to adapt this envelope

One tenant means deleting a recipient and their five fields. A guarantor joins as a fourth signer with their own initials and signature, the way the loan agreement example handles one. If the landlord wants to countersign only after both tenants, set their order last and switch Sign in order on; everything else stays the same.

What makes this signing flow work

Three colours, thirteen fields, no confusion

The editor colours every field by its recipient, cycling through five recipient colours. On a page where three initials spots sit in a row, the agent can see at a glance which spot belongs to which person before sending anything.

The code stops a forwarded link

A lease link that gets forwarded to a flatmate or a parent goes nowhere: the challenge card wants the code that was only ever spoken on the phone. After five wrong tries the recipient is locked for fifteen minutes, and the failed attempts are in the audit trail.

Parallel signing where order does not matter

All three signed within minutes of each other instead of waiting in a chain. Sequential order is the right tool when one signature must precede another, but a lease is not that document, and turning the switch off saved a day of relay.

Questions people ask

Do the tenants have to sign in order?

No. This envelope has the Sign in order switch off, so both tenants and the landlord received their links at the same moment and signed in whatever order suited them. The certificate simply records the actual times each signature landed.

What if a tenant forgets the access code?

The agent tells them again, by phone or in person. The application never emails the code and never shows it to the signer, which is the point: possession of the email is not enough to open this lease. Five wrong entries locks the link for fifteen minutes.

How many times does each person draw a signature?

Once. Each signer here had three spots, initials on two pages and a signature on the third, and the portal filled all three from a single drawing, scrolling to each spot in turn with the Signature n of 3 header.

Can the landlord sign at the agency office instead?

Yes. From the envelope's status page the agent can hand any current signer their turn in person, which waives the emailed check for that hosted session and records an in person event in the trail. The liability waiver example shows that path in full.

Is a lease signed electronically valid?

The envelope preserves the evidence: who signed, when, from which address, with which verification, all hash chained. Whether your state's tenancy law adds form requirements for leases is a question for the local authority, and worth checking before you rely on this for a fixed term.

Can we add a guarantor after sending?

No, a sent envelope is locked. Withdraw it, which emails everyone still holding a live link, then send a new envelope with four recipients. Because signing was parallel and same day here, withdrawing early costs almost nothing.
