Sign a vehicle sale agreement online
To sign a vehicle sale agreement online, the seller and buyer do not need to meet: one envelope routes the seller first and the buyer second, each verified by an emailed code. This private sale of a 2019 dual cab ute shows that flow, with the seller typing the odometer reading at the moment of signing and the buyer typing exactly what was paid.

The signing journey
Step 1
Six fields, order on
Each party gets an initials spot on the identification page, a headed block on the execution page, and one required text field: the seller's odometer reading and the buyer's amount paid. The seller signs first so the buyer executes a document the seller has already committed to.
Step 2
The seller types the reading
Dean enters his emailed code, initials the vehicle identification page, types 84,312 km into Odometer at signing, and signs THE SELLER block. His date stamps itself, and the reading now sits in his own field under his own signing event.
Step 3
The buyer types what was paid
Harriet is invited only after his signature lands. She verifies with her own code, initials the same identification page beside his mark, types the amount and the transfer receipt reference, and signs THE BUYER block.
Step 4
Both hold the same certified file
Completion emails the certified agreement to seller, buyer and sender. The certificate shows both parties verified by emailed one-time codes over a fifteen event log, and either side can open the file in a reader and see the certification intact.
Opening the signed PDF in a reader
The completed file carries a certifying signature, so a PDF reader's signature panel reports a certified document with no changes since certification. That check works for either party without any access to this product, which matters when a buyer wants to verify the copy years later. The certification line in the certificate reads PAdES-SHA256-DocMDP with no timestamp suffix, meaning no RFC 3161 token is attached in the current setup.
What the signed agreement and certificate show
The identification page carries both sets of initials under the vehicle table. The execution page shows THE SELLER and THE BUYER blocks with drawn signatures and stamped dates, the typed odometer reading, and the typed amount with its transfer reference. The certificate lists both signers with Email link + emailed one-time code, IP addresses, consent records and the two document hashes.
How to adapt this envelope
A sale with a deposit already held just changes the document. If the parties are meeting for the handover anyway, the second signature can happen in person from the status page on the seller's phone, the path the bill of sale example uses for its collection receipt. Registration transfer stays a separate government process either way, and the agreement says so.
What makes this signing flow work
The odometer is typed at signing, by the seller
The agreement discloses the advertised reading, but the number that matters is the one at sale, and it lands in the seller's own required field with the seller's timestamp. If it ever disputes, the record shows who typed 84,312 km and when.
Seller first means the buyer signs a committed document
Enforced order put the seller's initials, block and reading on the file before the buyer could act. The buyer's signature was given over a page the seller had already executed, which is the sequence a cautious private buyer wants.
Two strangers, two codes
Private sales happen between people with no shared systems. Each party verified with a six digit code emailed at signing time, so each signature ties to a mailbox, and the certificate names the method beside each entry.
Questions people ask
Do both parties get the signed copy?
Yes. The completion email carries the certified PDF to the seller, the buyer and the sender, and the certificate of completion is a separate download from the status page. Both sides hold byte identical files that a reader can verify independently.
Can we sign in the same room instead?
Yes. From the envelope's status page the sender can hand the current signer their turn in person, which waives the emailed code for that hosted session and records an in person event. It suits a handover day where everyone is standing beside the ute.
Does the app check the registration or title?
No. The register search, its certificate number and date live in the document's own warranty text, done by the parties beforehand. The envelope's job is capturing who signed what and when, with the readings typed at the moment they were true.
What if the buyer declines to sign?
The envelope moves to declined with the buyer's typed reason emailed to the sender, and nothing is stamped. Since the seller signs first here, a decline costs one drawn signature and produces a clean record that the sale did not proceed.
Is the file timestamped by an authority?
No RFC 3161 token is attached in the current configuration, and the certification line says so by carrying no timestamp suffix. The signing instants are recorded in the certificate and the hash chained event log, which for a private sale is the record that gets used.
Why type the amount paid into a field?
Because the price in the contract and the money that actually moved are different facts. The buyer typing the amount and transfer reference at signing puts the payment trail on the face of the executed document, under her own signing event.
