Sign a written warning acknowledgement online
A warning letter acknowledgement has to prove the letter was handed over and explained, without pretending the employee agreed with it. This envelope carries the Fern and Kettle Cafe first written warning from the documents examples, signed on the manager's own laptop through the in person handoff, with a text box where the employee says in their own words what they are and are not accepting.

The signing journey
Step 1
Four fields, order on, no identity check
The employee gets a text box, a signature and a date on the acknowledgement page; the manager gets a block beside them. Neither recipient carries a code, because both are in the room.
Step 2
The manager hands over the laptop
From the status page the sender presses Sign here beside the employee's name. That is the in person handoff: an owner route that refuses unless it is that recipient's turn.
Step 3
The employee writes his own line
Jacob typed into the box labelled I acknowledge receipt, not agreement, recording that the letter was explained and that he disputes one late start. Text shrinks to four points if it is long.

He signs and the date stamps itself
One drawn signature, the consent accepted, and a date printed as Sep 12, 2026. The trail records in person started, with the host's user id, immediately before the signed event.

Every field, and who fills it
Four fields, and one of them exists purely so the employee has somewhere to disagree. The text box is labelled I acknowledge receipt, not agreement, and whatever he writes in it is stamped onto the letter in his own words. His signature and his date follow underneath, the date arriving from the submission rather than from a box he could set. The manager's block opposite carries Name, Title and Date. On a disciplinary letter the field that matters most is the one the employer does not control, and the preparation screen makes that easy to promise: it offers a field label and a Required switch, and no way to type a value in.
How to adapt this envelope
First, where the meeting is remote, drop the in person handoff and let the emailed link do the work, with an emailed one time code if the letter is sensitive. Second, where a support person also signs, add a third recipient with their own signature and the order becomes employee, support person, manager. Third, a final warning runs identically with a different letter, and the same text box gives the employee the same right of reply.
Why the signed copy matters in a fair process
A warning is only useful later if it can be shown the employee received it, had it explained, and was told what would happen next. A certified PDF with a marked acknowledgement, a stamped date, an IP address and a hash chained event log answers that in one file. Australian employers keep employment records for seven years.
What makes this signing flow work
In person signing without losing the trail
Handing over a laptop usually costs you the audit trail, because the signature stops being tied to anything. Here the handoff is its own recorded event, carrying the host's user id, and the signature that follows still has its own IP address, consent timestamp and image hash.
The employee gets a sentence of his own
The text field is the difference between a signature that looks like agreement and one that does not. Whatever he types is stamped on the page in his words and travels with the letter, which is what makes signing the acknowledgement safe for him to do.
The countersignature lands on a received letter
Sign in order puts the employee first, so the manager's block can only ever be stamped on a letter already acknowledged. The order also means she is not asked to sign in the room, which keeps the handover meeting short.
Questions people ask
Does signing mean the employee agrees with the warning?
No. The page says signing records receipt and that it was explained, not agreement, and the field the employee types into is labelled to say so. If he disagrees, he writes that in the box and it is stamped on the letter and filed beside it.
How does in person signing work?
The sender presses Sign here on the status page, which opens that signer's portal on the sender's own device with a session already established. It only works when it is that recipient's turn, it appends an event naming the host, and it waives the emailed check for that session alone.
Does a drawn mark count for more than a typed name?
No. The pad offers a draw tab and a type tab and the service treats the results identically, rendering a typed name to an image and hashing it exactly as it hashes a drawing. What gives this acknowledgement its weight is the in person event before it and the note the employee typed, not the shape of the mark.
What if the employee refuses to sign?
The letter itself says a refusal is noted on the file and the letter still stands. Inside the envelope the employee can press Decline with a reason, which moves it to declined and emails the sender that reason, or the sender can simply close the laptop and record the refusal.
What if the manager never gets round to countersigning?
The envelope sits at partially signed and the employee's acknowledgement is already stamped, hashed and evidenced, so nothing about the meeting is lost. Her invitation waits with no clock on it except the envelope's own expiry, which is thirty days from creation and fixed.
How long does the manager have before the link stops working?
Thirty days from when the envelope was created, the same window the employee had, and no screen in the app moves it. After that the link reports the signing request has expired and the letter has to go out as a new envelope. A Resend before then issues a fresh link and retires the old one.
