HR and employment e-signature examples

Employment paperwork is the paperwork most likely to be read back years later by somebody looking for a fault. Each example here is a real envelope that was signed end to end, with the fields, the order and the certificate it produced.

What an HR envelope has to prove

A signed employment document has to show three things after the fact: that the right person signed, that they saw the version being relied on, and when they saw it. That is why these examples pay more attention to verification and to the audit trail than to the document itself. Each page names the verification each signer was given, an email link on its own, a link plus an access code shared out of band, or a link plus a code emailed at signing time, and shows how the completion certificate records it. The certificate is the artefact worth keeping, since it carries the envelope details, the signers and the event log together.

Order, and who signs first

Most of these envelopes enforce a signing order, because employment documents usually have a natural sequence: the employee accepts, then the manager or director countersigns. Turning the order off lets both parties sign whenever they open the link, which suits an acknowledgement more than an offer. The examples show both. Where a document needs an employee to initial particular pages, for example a restraint or a policy schedule, the initials field is placed on each of those pages rather than relying on the final signature to cover them.

Choosing the closest example

Start from the moment in the employment relationship. Hiring covers casual agreements, internships and onboarding packs. Changes in the relationship cover remote work agreements, salary reviews, restraints and intellectual property assignments. Difficult conversations cover warning letters, performance improvement plans, terminations and resignation acceptances, and those are the ones where the record matters most. Acknowledgements, such as the employee handbook, are the lightest of the group and usually need one signer and no order at all. Every page lists each field and who fills it, so an envelope can be rebuilt from the page.
