Signing example
Sign an internship agreement online
An internship agreement has three signatures on it and they are not interchangeable: the student accepts, the host confirms the work and the pay, and the university confirms the program counts. This envelope carries the Tallowwood Engineering agreement from the documents examples, signed in exactly that order, with a marked acknowledgement on page 2 that the placement is paid rather than unpaid.
The document itself is written out in full on its own page:read the wording there. This page is only about signing it.
Who signs what
- Amara Osei, the intern, signs first
- Checkbox on page 2, paid placement acknowledged · Signature and stamped date on page 4 · Email link
- Hamish Cardew, for Tallowwood Engineering Pty Ltd
- Signature block: Name, Title, Company, Date · Email link
- Ngaire Foulkes, for the University of the Southern Highlands
- Signature block: Name, Title, Company, Date · Email link
The signing journey
Step 1
Three recipients, five fields, order on
The intern gets a checkbox beside the placement basis on page 2 and a signature and date on page 4. The supervisor and the placement officer get one signature block each.
Step 2
The intern marks the placement basis
The checkbox is a small typed box rather than a tick control. Amara typed a character into it and the stamper printed a capital X beside the line saying the placement is paid.
Step 3
The host supervisor signs second
Hamish was invited once the intern's signature landed, and opened a copy already carrying it. His block printed FOR TALLOWWOOD ENGINEERING PTY LTD over four lines.
Step 4
The university signs last
Ngaire's invitation came only after the host's block was stamped, which is the whole point of the order: a university does not confirm a program the student has not accepted and the host has not staffed. Her block sits under the other two on page 4.
Step 5
One file, three entries on the certificate
The listener stamped, certified and emailed the completed agreement to all three signers and the sender. The certificate ran to two A4 pages: three signer blocks, each showing Email link, an IP address and a consent time, over a twelve event log.
Every field, and who fills it
Five fields across three people. The intern owns three: a checkbox on page 2, a signature on page 4 and a date beside it. The supervisor and the placement officer own one signature block each, both with Name, Title, Company and Date switched on. Only four of those lines are typed by a human: Name comes from the recipient record and every date is stamped from the moment that person submitted. A checkbox is worth understanding before you place one, because it is a small typed box and the stamper prints a capital X for any value at all.
How to adapt this envelope
First, an unpaid vocational placement arranged through a course would swap the acknowledgement for the clause that makes it lawful, and the field layout does not change. Second, a program with two supervisors adds a fourth recipient and a fourth block, well inside the limit of 25 recipients. Third, where the university does not need to sign, drop the third recipient and the envelope becomes a two signer agreement that completes a day sooner.
Why the signed copy matters for a placement
An internship sits across two record systems, the host's employment records and the university's placement file, and they disagree more often than anyone expects. One certified PDF, sent to all three parties by the same completion email, gives them the same document with the same hash. Australian employers keep employment records for seven years, and a fixed term intern is an employee for that purpose.
What makes this signing flow work
The order carries the meaning
Three signers with Sign in order on means each one opens a copy that already carries the signatures before it. The university's confirmation sits on a document the student and the host have both already executed, which is the sequence a placement office actually needs.
The paid basis is marked, not assumed
The difference between a paid internship and an unpaid vocational placement decides what is owed and who carries the insurance. Putting that acknowledgement in its own checkbox, on the page that sets out the pay, makes it a deliberate mark rather than a buried clause.
Three blocks, three company lines
Each of the two institutional signers has a block with the Company line switched on, so the finished page names the organisation each person signed for. Reading the execution page alone tells you who committed what, without opening the covering email.
Questions people ask
Is a typed signature valid on an internship agreement?
The portal offers a drawn pad and a typed name and handles them identically: the typed name is rendered to an image, hashed, stored and stamped exactly as a drawing is. The consent record, the IP address and the verification method are the same either way.
Can the host countersign before the student accepts?
Not on this envelope. Sign in order is on, so the supervisor's invitation is only generated once the student's signature lands, and the placement officer's only after that. Turning the switch off would invite all three at once, which suits an agreement where the sequence carries no meaning.
What if the student declines?
The envelope moves to declined, nothing further is stamped, and the sender receives a Declined email carrying the reason the student typed. Neither the supervisor nor the placement officer is ever invited, because their turn never arrives. The sender can void the declined envelope and send a corrected one.
How long do all three parties have to sign?
Thirty days from the creation of the envelope, shared between them rather than thirty days each, and no screen in the app moves that date. Past it the link reports the signing request has expired. A Resend inside the window gives one recipient a fresh link and retires the previous one.
Can a fourth party be added after sending?
No. Recipients and fields are locked the moment an envelope is sent, and the editor redirects to the status page from then on. Withdraw the envelope, which voids the live links and emails everyone still holding one, then send a new envelope with four recipients.
Does the university signer see the student's details?
Yes. The placement officer opens the stamped copy, so she sees the agreement, the marked acknowledgement and both earlier signatures. Before she verifies, the link reveals only the envelope title, her own name and which check is required, because the document is served only after identity is established.

Sign a performance improvement plan online
A performance improvement plan is only fair if the employee can put their own words on it and the dates cannot move afterwards. This three page envelope gives the employee initials on the goals and the review timetable, a comment box that is theirs alone, and a stamped signature date, then routes the plan to the manager and the HR partner in that order.
Sign a written warning acknowledgement online
A warning letter acknowledgement has to prove the letter was handed over and explained, without pretending the employee agreed with it. This envelope carries the Fern and Kettle Cafe first written warning from the documents examples, signed on the manager's own laptop through the in person handoff, with a text box where the employee says in their own words what they are and are not accepting.
Sign an equipment loan agreement online
An equipment loan record is only useful if the serial numbers in it are the numbers on the actual devices. This envelope gives each device its own empty serial box for the employee to fill from the sticker, marks the condition check as its own field, and has the IT manager countersign once the register matches.
