Termination letter acknowledgement e-signature
An acknowledgement on a termination letter proves receipt, not agreement, and the date on it has to be the real one. This envelope carries the Fern and Kettle Cafe letter from the documents examples: one signer, a marked box confirming the final pay statement came with it, a drawn signature and a date stamped from the moment of submission, all behind a six digit emailed code.

The signing journey
Step 1
One recipient, three fields
The employer's signature is already printed on the letter, so nobody countersigns. The employee gets a checkbox beside the final pay confirmation, a signature and a date.
Step 2
The code comes before the letter
Set to the emailed one-time code, the link opens a verification card rather than the letter. The code is six digits, lasts ten minutes and is redeemable once.
Step 3
The box is typed, not ticked
The checkbox is a small typed box. Jacob typed a character into it and the stamper printed a capital X beside the line confirming the final pay statement at clause 4 came with the letter. It prints that X for any value at all.
Step 4
The date is not his to choose
The date field has no box to type into. It printed Sep 12, 2026 from the instant he submitted, and the same instant appears in the certificate and the event log.
Step 5
Certified, then emailed to both sides
The listener stamped the page, certified the PDF and emailed the completed letter to the employee and the sender. The certificate lists one signer as Email link + emailed one-time code, with the IP address, the consent timestamp and both document hashes.
Every field, and who fills it
Three fields, one person. The checkbox sits beside the confirmation that the final pay statement at clause 4 came with the letter. The signature sits under the receipt heading, over the employee's printed name and role. The date beside it is stamped rather than typed, the only one of the three the signer cannot influence. The sender cannot pre-type a value into any of them either, because the editor offers a field label and a Required switch and nothing else.
How to adapt this envelope
First, a letter that the employer has not already signed adds a second recipient with a signature block, and Sign in order decides who goes first. Second, where the employee should record a comment, a text field gives them their own words on the page, which the written warning example does. Third, where the letter is handed over in a meeting, the sender can host the signing in person from the status page rather than emailing a link at all.
Why the signed copy matters for records
Australian employers keep employment records for seven years and produce them on request, and a dismissal is the record most likely to be asked for. A certified PDF with a marked box, a signature image hash, an IP address and a consent timestamp answers that better than a photocopy signed at a counter.
What makes this signing flow work
Receipt is separated from agreement
The page says in its own words that signing records receipt and not agreement, and that it does not affect any right to challenge the decision. The envelope then records only what it says it records: a marked box, a signature, a time and an address.
One signer, because the employer already signed
The letter carries the owner's printed signature above the receipt, so nothing waits on a countersignature. A one signer envelope completes in a single sitting, which matters on a letter that is usually handed over in a meeting rather than posted.
The code ties the receipt to a mailbox
A termination letter is the document most likely to be argued about later. Requiring a six digit emailed code, redeemable once inside ten minutes, means the certificate can print Email link + emailed one-time code rather than recording a click anybody holding the link could have made.
Questions people ask
Does signing mean the employee accepts the dismissal?
No, and the page says so in its own text. Signing records that the letter and the final pay statement were received. It does not record agreement with the decision and it does not affect any right to challenge it. The envelope stores only receipt, a time and an address.
Is a typed signature valid here?
The portal offers a drawn pad and a typed name and treats them the same way: the typed name is rendered to an image, hashed, stored and stamped exactly as a drawing is, with the same code verification and consent record behind it. Whether a signature binds is a question for your jurisdiction.
What if the employee refuses to sign?
Nothing about the letter changes. The employee can press Decline with a reason, which moves the envelope to declined and emails the sender that reason, or simply never open the link. The letter itself records that a refusal to sign is noted on the file and the letter still stands.
How long is the signing link live?
Thirty days from when the envelope was created, and no screen in the app changes that. After that the link answers that the signing request has expired. Before that, Resend rotates the link and sends a fresh invitation, which also clears any lockout from failed code attempts.
What happens if the code is entered wrongly?
Five failed attempts lock that recipient for fifteen minutes. A code lasts ten minutes, is redeemable once, and at most five codes are issued to a recipient in any ten minute window. Asking for a new code kills the previous one, so a slow email is solved by pressing the button again.
Can the letter be changed after sending?
No. A sent envelope is locked and the editor redirects to the status page from then on. A wrong figure in the final pay table means withdrawing the envelope, which voids the link and emails the employee that it was withdrawn by the sender.
