The signing journey

1. Step 1

   Eight fields, order on

   Each person gets an initials spot under the condition report on page 1 and a signature, a name and a date on their own lines on page 2. Sign in order is on with the borrower first, because clause 1.1 says both people sign the condition report at handover, and the borrower is the one who has just looked the hoe over.

2. Step 2

   The borrower checks the table, then initials

   The table already prints the hoe at 41.6 engine hours, the scratch on the left guard, a sharp tine set and a full 5 litre fuel can with a perished lid seal. Dario checks those against the machine at Shed 2 and initials under the table. If anything differs, he stops and says so before signing.

3. Step 3

   He signs the loan terms

   One drawing fills his initials and his signature on page 2. His name arrives prefilled from the recipient row and the date stamps itself from the moment he submits, so the start of the loan is recorded to the minute rather than remembered.

4. Step 4

   The garden countersigns

   Helen is invited once his signature lands. She opens a copy already carrying his marks, initials the condition table beside them and signs the lender's lines. The certified PDF then goes to both of them and to the sender.

Every field, and who fills it

Eight fields across two people. Each person owns an initials spot under the page 1 condition table, then a signature, a name and a date on page 2. The names come from the recipient rows and both dates are stamped from the moment each person submitted, so nobody types anything except their marks. The equipment itself, the serial RH-2219-04, the 41.6 engine hours and the accessories, is printed in the document and covered by the document hash rather than typed at signing, because the committee filled the table in before sending.

What happens at return

Clause 1.2 has the hoe handed back to a committee member at Shed 2 by 4 pm on Thursday 15 April 2027, with the return recorded then. A completed envelope cannot be reopened, so the return is a separate record: either a short return note sent as its own envelope, or the committee's own register. Late return costs $40 a day and a mud caked machine a $35 cleaning charge, both already in the signed terms.

How to adapt this envelope

A tool library lending several items adds rows to the condition table before upload, and still needs only one initials spot per person under it. A loan to a member under 18 adds a parent or guardian as a third recipient with their own lines.
