Sign a contractor onboarding pack online
Contractor onboarding usually arrives as four separate attachments and comes back as three, because somebody missed one. This envelope binds the services summary, the confidentiality undertaking, the site rules and the bank details page into a single six page PDF, with a signature on two of them, initials on the other two, and one certificate at the end instead of four.

The signing journey
Step 1
Nine fields across one bound pack
The contractor gets a signature on the services page and the site rules page, initials on the confidentiality and insurance pages, three text fields and a date.

A code before the pack opens
The contractor carries the emailed one-time code, so the link shows a verification card rather than the pack. That matters because the last page collects bank details.
Step 3
One drawing covers all four marks
Kit drew once and the portal filled both signatures and both initials spots from that drawing, scrolling him page to page with a Signature n of 4 header. Four separate documents would have meant four drawings and four submissions.

The bank details are typed by the contractor
Three text fields on the last page take the ABN, the account name and the BSB. The sender cannot pre-type any of them, and the pack explains that the account number is confirmed by a call back.

One envelope, one certificate
The engagement manager countersigned after the contractor finished, and the listener certified the whole pack as one file, over a single event log for the whole onboarding.
Every field, and who fills it
Nine fields across a pack that used to be four emails. The services page and the site rules page each take a full signature, because each is an agreement in its own right. The confidentiality undertaking and the insurance declarations take initials, because each acknowledges something already true rather than promising something new. The last page holds the three details the finance team needs, an ABN, an account name and a BSB, and a date that stamps itself. The engagement manager closes it with a block carrying Name, Title and Date. Nothing in the pack was filled before it went out: the preparation screen offers a field label and a Required switch and no value box.
How to adapt this envelope
First, where a licence number is required, add a text field on the insurance page beside the declaration it belongs to. Second, where the contractor is a company with two directors, add a second contractor side recipient with their own signature on the services page. Third, the annual review of the pack is a fresh envelope naming the new rates, because a sent envelope is locked from the moment it goes out.
Why binding the pack changes the admin
Four documents mean four envelopes, four certificates and four rows to reconcile before anybody can be sent to site. One envelope produces one certified PDF and one certificate, and the status page shows a single badge that either says Signed or does not. For a firm engaging a dozen contractors a year, that is the difference between a folder and a spreadsheet.
What makes this signing flow work
One envelope cannot come back three quarters complete
Four attachments means four chances to miss one. Binding them into a single PDF means the pack completes or it does not, and every required field has to hold a value before the signer can submit anything at all.
Signatures and initials mark different weights
The services summary and the site rules are agreements, so they carry a full signature. The confidentiality undertaking and the insurance declarations are acknowledgements, so they carry initials. One drawing fills all four, and the finished pack still shows which was which.
The bank page is behind the code
Payment redirection fraud starts with a document that says where money should go. Requiring a six digit emailed code before the pack opens, and never asking for the account number in the form, keeps the most valuable page in the pack away from a forwarded link.
Questions people ask
Why not send four separate envelopes?
Because three of them would come back. A bound pack completes as one unit, produces one certificate, and every required field has to hold a value before submission. The only reason to split it would be if different people signed different parts.
Does the contractor draw once or four times?
Once. The two signatures and the two initials spots are all filled from a single drawing, with the header counting Signature 1 of 4 through 4 of 4 as it scrolls him page to page. Four separate documents would have meant four drawings, four consent gates and four submissions.
Does the engagement manager have to sign before work starts?
Yes, and that is what the countersignature means here. The pack sets the terms behind every later work order, so the supplier file is only complete once the manager's block is stamped. Her invitation is generated when the contractor finishes, with nothing running between the two but the envelope's own expiry.
Are the bank details safe in a signed PDF?
The pack deliberately asks for the ABN, the account name and the BSB only, and says the account number is supplied by telephone. The document sits behind a one time code, and the completed file is emailed to the two signers and the sender, so treat it the way you treat any payment instruction.
What if the contractor declines?
The envelope moves to declined, nothing further is stamped, and the sender gets a Declined email with the reason typed. The manager is never invited. A declined envelope can still be voided with a note, and a corrected pack goes out as a fresh envelope.
Do the rates in the pack expire with the link?
No, those are two different clocks. The rates are held for twelve months from signing and the insurance declarations are reviewed each year. The envelope is the signing window only: thirty days from creation, unchangeable in the app, after which the link reports the request has expired and a fresh pack goes out.
