I was Daniel Okoro’s manager at Kestrel Distribution from March 2023 to August 2026, where he was Operations Coordinator reporting to me. His duties included:

What a reference can and cannot say

A reference is safe when every factual statement is accurate and every judgment is honestly held. The classic English case, Spring v Guardian Assurance, established that a reference writer owes the subject a duty of care, so a careless factual error can cost the writer. That is why this letter keeps its facts checkable, dates, duties, 6.1 to 2.4 percent, and phrases its praise as opinion. Leave out anything discriminatory or irrelevant: age, health, family plans, union membership. Check your employer's policy too, since many companies restrict signed letterhead references to managers and route everything else through HR as a statement of service.

How to adapt this document

For a character reference from someone who was never the employer, replace the opening with the relationship and how long you have known the person, keep two concrete examples, and drop the duties list. For an academic reference, the duties become the course or project, and the numbers become grades, a ranking or a result the project produced. For a statement of service, delete everything except the opening sentence and the key values strip: name, role, dates, signed and dated. The skeleton stays the same in every version: verifiable facts first, one opinion at the end, contact details so the reader can call.

What makes this document work

Both examples carry a number

The run sheet redesign cut late deliveries from 6.1 percent to 2.4 percent, and the flood week meant 40 deliveries re routed in a day. Numbers are what separate a reference from a testimonial, because a hiring manager can test them in a phone call and an adjective cannot be tested at all.

The recommendation is an opinion, on the record

The closing paragraph says I recommend him without hesitation and in my opinion he is ready for a management position. Phrasing it as the writer's opinion is accurate and defensible, which matters because a reference writer can be liable for a careless statement of fact but is entitled to an honest professional view.

The reason for leaving is stated

One sentence says he left for a role with broader scope at a larger company, and we would have kept him. Its absence is the first thing an experienced reference reader notices, because a letter that skips the reason invites the suspicion that the answer is awkward. Here it takes eleven words to close the question.

Questions people ask

Is an employer obliged to give a reference?

Generally no. Most employers may decline, and many have a policy of giving only a statement of service, the dates and the role with nothing evaluative; the adapt section below shows that short version. What an employer must not do is give a reference that is misleading or careless with the facts.

Can a reference be negative?

It can, but it must be accurate and fair, and a careless negative reference exposes the writer to a claim, which is why most employers decline to write one rather than write a bad one. A true but unflattering fact stated plainly is defensible. An exaggeration, in either direction, is the risk.

Who should sign a reference letter?

The direct manager, on company letterhead, with a phone number and email so the reader can follow up. This letter is signed by the state operations manager and offers a call. A reference from HR or a colleague carries less weight because they did not see the work.

What is the difference between a reference letter and a referee?

The letter is written once and travels with the candidate; a referee takes calls and answers the specific questions a recruiter asks. How long should a reference letter be?

One page. This example holds an opening with dates, four duties, two examples, the reason for leaving and a recommendation, and still fits with room for the signature and a key values strip. Anything longer dilutes the two examples, which are the part the reader remembers.

Should a reference mention salary, health or personal details?

No. Salary is for the payroll conversation, health and family circumstances risk discrimination problems, and none of it helps the reader judge the work. Stick to dates, duties, examples and opinion, which is all this letter contains and all a hiring manager needs.
