Volunteer recruitment flyer for a food relief charity

A volunteer recruitment flyer has to name the roles, the hours and the training, because the person reading it is deciding whether they can fit you into a week that is already full. These three are for Ferngully Food Relief, a fictional charity that packs 900 hampers a week with 60 volunteers and needs 20 more before winter, and all three print the same three facts: the shifts, the induction, and how to sign up.

The 3 designs

The same business laid out three ways, on three templates and three colour themes. Every price, name and time on these was written for this example, so you can judge the layouts on real content rather than placeholder text.

What each layout is doing

The voices design is a testimonial wall: a brand header, a single headline, three stacked cards each with an icon, a tenure tag, a quote, a name and a role, then a contact strip. It is the version for the noticeboard of a place where people already half want to help, like a library or a church hall. The roles design is the honeycomb, six cells around a hub reading "20 volunteers", and it is the most useful of the three because it is the only one that shows every role at once. The benefits design is the simplest and the most persuasive at a distance: one photo, one headline that reads "Three Hours Feeds 40 Families", and three lines about what a volunteer gets back.

How to adapt these

For a one day event call, keep the roles layout and replace the six ongoing roles with six shifts on the day, each with its hours, because event volunteers pick a time slot rather than a job. For a sports club, put the roles a season needs into the honeycomb, canteen, scoring, umpiring, and add the check requirement to any role that works with children. For a one-off working bee, the benefits layout is the right shape: one date, one headline about what gets done, and three lines on what to bring, since nobody needs an induction to pull weeds for a morning.

What makes these work

Six named roles, each with its own commitment

Packers on Tuesday and Thursday mornings, drivers with their own car for two hours, sorters on Saturday at 8am with nothing over 10 kg, welcome desk, admin two hours a week from home, gardeners on Saturday mornings. A reader self-selects instead of asking what needs doing. The 10 kg line and the from home line do the most work, because they tell two groups of people who assume they cannot help that they can.

The quotes are short and carry a role each

The voices design runs three quotes under 140 characters, each with a first name, a role and how long that person has been there: Bev, packer, three years; Sam, driver, eight months; Priya, admin, five years. A reader deciding between roles is reading about the role, not about the charity, which is what makes a testimonial useful rather than decorative.

All three state the induction length

Ninety minutes, every Tuesday at 8:30am. It appears in the contact strip of the voices design, in the welcome desk cell of the roles design, and as one of the three features on the benefits design. The biggest silent objection to volunteering is not the shift, it is the fear of an open-ended commitment before the shift, and a number removes it.

Questions people ask

What goes on a volunteer recruitment flyer?

Five things: what the organisation does, the specific roles you need, the time commitment for each, what training is provided, and one way to sign up. These three carry all five. What to leave out is the annual report and the funding story, because a person deciding whether to give you a Tuesday morning is not choosing between charities on financials.

Should I list specific roles?

Yes. "Volunteers needed" gets you people who feel guilty; "Drivers, own car, two hours, eleven drops" gets you a driver. The roles design here names six with a commitment on each, and the two that fill fastest in practice are always the ones with the smallest and clearest ask, which here are admin from home and the Saturday garden.

How do I mention police or working with children checks?

Say which roles need one, who pays, and how long it takes, in one line beside that role. Do not put it in the headline, because it reads as a barrier before the reader has decided they want the job. In NSW the Office of the Children’s Guardian runs the Working with Children Check and publishes what volunteers need; other states run their own.

Should I use photos of current volunteers?

Only with written consent from the people in them, and be careful about photos taken at a service where the clients are also visible. None of these three uses a face. The benefits design uses stacked hampers on a trolley instead, which says warehouse work without needing a release form from anybody.

Where do volunteer flyers actually work?

Places where people already stop and read: library noticeboards, community centres, church halls, the counter of a chemist or a hardware shop, and the school newsletter. Most councils treat unauthorised posters on poles and public property as illegal bill posting, so ask before you staple. Online, the same design at a Facebook Post size does the rest.

Can I put a sign up form link on it?

You can print one, but it will not be clickable. PNG and JPG exports are images, and the PDF export embeds a page bitmap per page, so its text is not selectable either. Use a short typed URL like ferngully.example/volunteer, or pick one of the 17 designs that ship a QR slot if you want a scan.
