Nonprofit templates for charities, community groups and churches

A charity or church raises money, recruits and manages volunteers, thanks donors with a receipt, reports to its members and keeps its community informed. This kit links finished examples of each, written for invented Australian organisations.

Money, people and reporting

A nonprofit runs on three things: donations, volunteers and trust. Donations need a form that is quick on a phone, a receipt that meets the tax rules when the organisation can issue deductible receipts, and appeal letters that tell a specific story. Volunteers need an application, an agreement that covers the role, safety and conduct, and a way to sign up for shifts. Trust is built with reporting: an annual report that shows where the money went and what changed, and notices of meetings that members can rely on.

Churches and community groups too

Churches and community groups use the same set with a different voice. A church website that welcomes a first time visitor, a volunteer roster for services and events, giving forms and receipts, and notices for annual meetings are the core. Grant funded projects add grant applications and acquittal reports. The examples below show each piece as a finished document or form written for invented organisations, so a volunteer coordinator or treasurer can read the questions and wording directly before adapting them to their own group.

Who the kit is for

The kit is written for Australian charities, community organisations and churches, from volunteer run groups to small professional charities. Registered charities report to the ACNC and must meet its governance standards; only organisations with deductible gift recipient status can issue tax deductible receipts, and gifts of 2 dollars or more to them are generally deductible. Volunteering Australia publishes national standards for volunteer involvement. The organisations in the examples are invented, and each card opens the complete form or document, ready to read in full before a committee decides to adapt it.

The kit, piece by piece

Donation forms and receipts

A donation form should ask for the amount with suggested options, one off or monthly, a dedication if wanted, and the details needed for a receipt. Keep it short; every extra field loses donors on a phone. An organisation with deductible gift recipient status should issue a receipt that names the organisation, its ABN, the donor, the amount, the date and states that it is a gift. The donation receipt example in this kit carries these details.

Volunteers who stay

Volunteer applications should ask for availability, roles of interest, relevant experience and the screening the role needs, such as a Working with Children Check, then confirm the code of conduct. A short volunteer agreement sets the role, who supervises, safety obligations and how either side can end it. The volunteer forms in this kit are built for a community kitchen and an events roster, and responses export as a CSV for the coordinator.

Reporting that keeps trust

Members and donors trust organisations that report clearly. An annual report should show the outcomes against the plan, the money in and out, and the people who made it possible. Notices of meetings should give the date, the agenda and how to appoint a proxy, within the notice period the constitution sets. Registered charities also report to the ACNC each year, and the governance standards set what the board must do.

Questions people ask

What forms does a nonprofit need?

A nonprofit needs a donation form, a volunteer application and sign up, a volunteer agreement, a membership form if it has members, event registrations, grant applications and incident reports. Keep each one short, because volunteers and donors fill them in on phones.

What must a tax deductible donation receipt include?

A receipt from a deductible gift recipient should include the organisation name and ABN, the donor name, the amount, the date, and a statement that it is a gift. If the donor received something in return, the rules differ. The ATO publishes the requirements.

Do volunteers need a written agreement?

A written volunteer agreement is good practice. It sets the role, supervision, safety obligations, conduct and how the arrangement ends, and it helps the organisation meet its work health and safety duties to volunteers, who are owed the same care as paid workers.

How should a church website welcome visitors?

Put the service times, location, parking, what to expect, what is offered for children and how to get in touch on the home page. A first time visitor wants to know what will happen when they walk in, more than the history of the church.

What goes in a small charity annual report?

Include a message from the chair, the outcomes against the year goals, stories that show the impact, a summary of income and spending, the people and partners who helped, and the plans for next year. Keep it honest and short enough to read.
