Notice of annual general meeting 2026, Wattleglen Amateur Football Club
AGM notice template for an incorporated club, on one page
An AGM notice has to tell every member when and where the meeting is, what will be decided, and the dates by which they must nominate for the committee or lodge a proxy. This one page notice for a Victorian football club with 340 members does that with a stats strip, a seven item agenda and a two row deadline table.

How to adapt this document
First, for a company AGM rather than an association, replace the committee election with the election of directors and the appointment of the auditor, and follow the notice period in your constitution and the Corporations Act. Second, if a rule change is on the agenda, send it as a special resolution with its own wording and the longer notice period, as in the special resolution notice in this cluster, rather than burying it in general business. Third, for a hybrid meeting, add the video link and how online members vote, but only if your rules allow members to attend that way.
Which law the terms follow
This notice is for a Victorian incorporated association under the Associations Incorporation Reform Act 2012. Consumer Affairs Victoria sets out the AGM timing, what must be presented and the proxy form rule. The notice period, quorum, proxy entitlements and election process come from the club's own rules, whether the model rules or its own. Associations in other states follow their state's Act and rules, which differ on timing and notice.
What makes this document work
The three facts members need come first
A stats strip under the subject line shows Tue 17 Nov, 7:00 pm and Clubrooms before any paragraph, with the full address straight after. Most members read an AGM notice for those three facts and nothing else, so they sit where the eye lands.
The agenda shows the decisions
Item 4 presents the financial statements for the year ended 30 June 2026 with the committee's certificate, item 5 elects seven named committee positions, and item 6 sets 2027 fees at $220, $110 and $60. A member who cares about fees knows from the notice that this is the meeting to attend.
Two deadlines, two different dates
Nominations close at 5 pm on Tuesday 3 November, two weeks out, so ballot papers can be prepared; proxies close at 5 pm on Friday 13 November, four days out. Putting both in one small table, each with how to lodge it, stops the common mistake of a nomination arriving with the proxies.
Questions people ask
How much notice must an incorporated association give for an AGM?
The association's own rules set the period, and it must be followed exactly. Many rules require at least 14 days written notice for a general meeting, and longer when a special resolution is proposed. This notice goes out on 12 October for a 17 November meeting, which comfortably clears either period.
When must a Victorian association hold its AGM?
Within 5 months of the end of its financial year, according to Consumer Affairs Victoria. This club's year ends on 30 June, so the AGM must be held by 30 November, and 17 November fits. A first AGM is due within 18 months of incorporation, and an extension can be applied for in exceptional circumstances.
What must be presented at the AGM?
In Victoria, the financial statements for the year, a certificate signed by two committee members that they give a true and fair view, and any review or audit report the association obtained. That is why agenda item 4 names the statements and the committee's certificate, and why copies go online two weeks early.
Do I have to send a proxy form with the notice?
If your rules require proxies to use a standard form, members must be given that form with the notice of the meeting. This club encloses both the nomination and proxy forms. Even where the rules do not require it, enclosing the form avoids invalid proxies written on the back of an envelope.
Can general business be raised on the night?
Usually only minor matters. Anything needing a decision should be notified in advance so members can decide whether to attend, which is why item 7 asks for general business by 3 November. A special resolution can never be raised on the night; it needs its own notice with the full wording.

Special resolution notice template with the full wording and the 75 percent rule
A notice of special resolution has to give members the exact words of the resolution, the date, time and place of the meeting, and enough notice to decide how to vote. This one page notice for a Victorian landcare group changing three of its rules does that, explains why, and shows what 75 percent of the vote means in numbers.
Landlord notice to vacate template for the sale of the property
A landlord notice to vacate template ends a tenancy in writing, giving the ground, the notice period and the date the tenants must leave. Since May 2025 a New South Wales landlord can only end a tenancy on a listed ground, so the notice has to name it, give the right period for the type of agreement and attach the evidence the ground requires.
Notice of entry template for a routine inspection
A notice of entry template gives a tenant written notice that the landlord or agent will come into the home, why, when and who will come. In New South Wales a general inspection needs at least 7 days written notice and can happen no more than four times a year, so the notice has to show the reason, the timing and how many inspections have already been done.
