Notice of entry, routine inspection, 11 Banksia Close, Kiama

Notice of entry template for a routine inspection

A notice of entry template gives a tenant written notice that the landlord or agent will come into the home, why, when and who will come. In New South Wales a general inspection needs at least 7 days written notice and can happen no more than four times a year, so the notice has to show the reason, the timing and how many inspections have already been done.

How to adapt this document

For entry to carry out repairs, change the reason row to necessary repairs, reduce the notice to at least 2 days, and name the tradesperson attending and their licence, since a tenant is entitled to know who is coming in. For a private landlord without an agent, put the landlord's name on the letterhead and sign personally. For a property in another state, check the notice period, the hours allowed and whether a prescribed entry notice form must be used, because several states require one.

Which law the terms follow

The artifact is written for New South Wales under the Residential Tenancies Act 2010 (NSW) and the Residential Tenancies Regulation 2019. They set at least 7 days written notice for a general inspection, no more than four in 12 months, entry between 8 am and 8 pm and not on Sundays or public holidays unless the tenant agrees, and the rule against publishing images of a tenant's belongings without consent. NSW Fair Trading publishes the notice periods for every reason for entry.

What makes this document work

The reason is a category the law recognises

General inspection, the second in 12 months, with the first on 15 April 2026. Naming the category tells the tenant which notice rule applies, and counting earlier inspections shows the four a year limit is respected.

A window and a name instead of a vague day

Thursday 22 October 2026, 10.00 am to 12.00 noon, about 30 minutes, with Mia Kowalski attending alone and no tradespeople, buyers or photographers. A tenant can plan to be home, or decide not to be, with full knowledge of who will walk through.

Photos are limited in writing

Photos only of damage or repairs, for the landlord's records, and none showing belongings published without written consent. That matches the NSW rule on publishing images of a tenant's belongings and answers the privacy concern most tenants have about inspections.

Questions people ask

How much notice is needed for a routine inspection in NSW?

At least 7 days written notice each time, and no more than four general inspections in any 12 month period. Days are counted as calendar days and the day the notice is given is not counted. This notice is sent on Tuesday 13 October for Thursday 22 October, which is 9 days.

What times can a landlord enter a rental property in NSW?

Between 8 am and 8 pm, and not on a Sunday or public holiday, unless the tenant agrees otherwise. A landlord or agent also must not stay longer than needed for the purpose of the entry. The two hour weekday morning window here sits comfortably inside those limits.

Does the tenant have to be home for an inspection?

No. The landlord or agent may enter with proper notice whether or not the tenant is present, using their key. The tenant is entitled to be there if they wish, and this notice invites them to call and agree another time if the window does not suit, which most agents accept.

Can the agent take photos during an inspection?

Photos of damage or repairs for the landlord's records are usual. What NSW restricts is publishing photos or video of the inside of the home that show the tenant's belongings without the tenant's written consent. This notice limits photos to damage and repairs and says none showing belongings will be published.

Are there different notice periods for other reasons for entry?

Yes. Necessary repairs and health or safety compliance need at least 2 days notice, smoke alarm inspection 2 business days, a valuation 7 days, and an emergency or urgent repair needs none. Showing the property to buyers needs 14 days written notice before the first inspection, then reasonable notice.

What if the tenant refuses entry?

If proper notice was given for a permitted reason, the landlord or agent may enter. Where a tenant repeatedly prevents lawful access, the landlord can raise it as a breach of the agreement and seek orders from the NSW Civil and Administrative Tribunal, though agreeing a different time usually resolves it first.
