Form questions

Vendor application questions for an Australian market

Ask 14 to 18. Never skip what the vendor sells, proof of public liability insurance and power needs. Products decide whether the stall fits the market mix, insurance is a condition of almost every market, and power must be planned before the site map is drawn.

Vendor application questions tell a market or event organiser who the stallholder is, what they sell, what they need on the day and whether they hold the right insurance and registrations. These twenty questions are set out for an Australian community market, with the ABN, public liability certificate and council food registration in their own fields.

Which questions to make required

Twelve are required, more than most banks, because a market cannot accept a stall without the business details, products, site needs, insurance, dates and agreement to the terms. The linked form follows the same logic. Optional fields cover what only some vendors need, such as food registration and gas, so non food stallholders are not asked to fill them in.

Apply for a stall at Riverside Sunday Market

Fifty sites, eight Sundays a season, and a waiting list for the food row. Sites are 3 metres by 3 metres and cost 55 dollars a day including GST, invoiced after the market.

The stallholder

What you are selling

Be specific. The coordinator balances the row so that three candle makers are not side by side, and a vague answer is placed last. If you make it yourself, say where. If you resell, say that too, because reselling is allowed on the craft row and is not allowed on the produce row.

Your site

All leads must be tested and tagged within the last twelve months and the tag is checked at load in. Untagged leads are not allowed on site and there are none to borrow, which is the single most common reason a stall opens late.

Insurance and dates

PDF or a clear photo, one file, up to 10 MB. Minimum cover is 20 million dollars. The insured name has to match the trading name or the ABN above, and the expiry has to fall after the last market date you tick.

By signing you agree to the market rules: load in between 6am and 7.30am, no vehicle movement between 8am and 2pm, no single use plastic bags, take your own rubbish, and a site left dirty is charged a 60 dollar clean up fee. Cancelling less than 48 hours before a market still incurs the site fee.

Three ways to change this bank

For a night market or food festival with mostly food vendors, make the council registration and food safety supervisor fields required, and add questions on waste, grey water and generator use. For a craft fair, drop power and gas questions and add whether the vendor offers demonstrations. For a corporate event with stalls, replace the ABN and food questions with the exhibitor package chosen and branding requirements. Whatever the event, set out the stall fee and cancellation policy above the declaration, so applicants know what they are agreeing to.

Questions people ask

What insurance do market vendors need in Australia?

Most markets require public liability insurance, often with cover of 10 or 20 million dollars, and ask for a certificate of currency. Some also require product liability. Check the market's terms, since requirements vary, and make sure the certificate covers the market dates.

Do food vendors need council registration?

Usually yes. Food businesses selling at markets or events typically need to be registered or notified with a council, and many must have a food safety supervisor. Food Standards Australia New Zealand has guidance for temporary food premises. Check with the council where the market is held.

Why do markets ask who makes the products?

Many community markets give priority to makers, growers and local businesses over resellers, to keep the market distinctive. A clear answer helps the organiser balance the mix of stalls. Photos help even more, which is why they are part of this bank.

Do market vendors need an ABN?

Most businesses selling regularly will have one, and many markets ask for it. Some community markets accept hobby sellers without an ABN. Ask the question but keep it optional if your market welcomes occasional sellers, and check any ABN given against the Australian Business Register.

Why is email a short text field?

On a published classic form, email and phone fields do not render, so a classic form uses short text fields for them. A conversational form can use real email and phone fields. Either way, ask for a mobile that will be answered on market morning.

How should a market handle power requests?

Power is usually limited, so ask early, allocate first to food and essential stalls, and confirm in writing. Ask about the amps needed and whether appliances are tested and tagged, which many markets require for electrical safety, and say plainly that generators need approval.

How far ahead should vendors apply?

For regular monthly markets, a few weeks; for seasonal or large events, months. Set a clear closing date and say when vendors will hear back. Late applications can go on a waiting list for cancellations, which most busy markets have every month as vendors drop out.

Can vendors apply for several dates in one application?

Yes. A checkbox list of dates lets them choose every market they want, and the organiser can confirm each one. Make clear whether fees are charged per date and what the cancellation terms are, so a vendor who books six markets knows the cost of missing one.
