Conference flyer for an events company's three annual conferences

A conference flyer carries less than a seminar flyer, not more: the name, the dates, the venue, one sentence on who it is for, and the early bird price with its deadline. These three are for Circuit Conferences, a fictional company that runs three industry events a year and sends flyers out eight months ahead, when the programme is still moving and only the date and the price are safe to print.

The 3 designs

The same business laid out three ways, on three templates and three colour themes. Every price, name and time on these was written for this example, so you can judge the layouts on real content rather than placeholder text.

What each layout is doing

The forum design is the reference layout for a conference: a dark header carrying the name and the tagline, then a white lower half with three labelled rows for date, venue and audience, and a URL at the foot. Nothing is decorative and nothing needs updating when the programme moves. The summit design is the promotional one, built around a circular image and a three line stacked hero, with a dark footer holding the register button and the web address, and it is the version that works as a social image. The congress design is the most editorial: a white top band with a three line headline and a subtitle carrying the dates, over a navy band listing the three streams with a short body each, which is the version to hand to somebody deciding between two conferences in the same month.

How to adapt these

For a one day conference, delete the second date and put the finish time where the second day sat, because a single date with no finish time makes people assume a full day and plan accordingly. For a free community conference, keep the deadline and apply it to registration rather than price, since a closing date is what makes people act and free events have the worst no-show rates. For a hybrid event, add a fourth block naming the platform and the time zone for the online audience, and say plainly whether the online ticket includes the recording, because that is the only question a remote attendee has.

What makes these work

Every design carries an early bird price and its deadline

$890 until 15 December for the forum, $1,190 until 31 January for the summit, $1,450 until 30 April for the congress. Eight months out there is only one action a reader can take, and it is to book before the price rises. A conference flyer without a deadline is an announcement, and announcements do not get diarised.

Date, venue and audience get separate blocks

The forum design gives each of the three its own icon, eyebrow and value: DATE reads 18 and 19 March 2027, VENUE reads Harbourside Centre with the street underneath, WHO SHOULD ATTEND names manufacturers, councils, packaging and logistics leaders. A reader scanning for one of those three finds it in under a second rather than reading a paragraph to extract it.

None of the three names a speaker

That is deliberate. Eight months out the programme will change, and a flyer that names a keynote you later lose is worse than no flyer. The summit design fills that space with a three step process instead, register, pick a stream, join a lab tour, which stays true whatever the final line-up turns out to be.

Questions people ask

What goes on a conference flyer?

Five things: the name and year, the dates, the venue with a street address, one line on who it is for, and the early bird price with its closing date. These three carry exactly that. The programme, the speakers and the sponsors belong on the website, because all three change and the flyer is printed once.

Should I list the speakers?

Not on a flyer that goes out eight months ahead. Speakers drop out, and a printed name you cannot honour is a refund conversation. None of these three names one. If the line-up is your whole pitch, wait until it is contracted, then print a second flyer as a page two and export both as one PDF.

How early do conference flyers go out?

These are dated eight months ahead, which is what the early bird windows here assume: December for a March forum, January for a May summit, April for a September congress. The flyer’s job that far out is to get the dates into a calendar, not to sell a session, which is why the layouts have room for a date block and none for an agenda.

How do I show multi-day dates?

Write both days in full, as "18 and 19 March 2027", and put the daily start time underneath rather than a range. A reader has to know whether to book one night or two, and a range like 18 to 19 March reads as one continuous block. For three days or more, write "9 to 11 September 2027" and give the finish time for the last day.

Which size works for a conference banner?

Twitter Header at 1500 by 500 and Facebook Cover at 820 by 312 are both native sizes for these designs, so the design is swapped rather than squashed. Set the size on a new page, check the wide layout has not dropped the venue address, and export that page as a PNG.

Can I add the programme later as a second page?

Yes. Add a page from the library at the same size, fill it with the sessions once they are confirmed, and export the flyer as a PDF, which includes every page. PNG and JPG export only the page you are on, so the announcement page can still go out on its own as an image while the programme page stays in the PDF.
