How many signature fields a document needs
A document sent for e-signature needs about five fields: that is the median across 41 finished envelopes on this site, three per signer, with one signature or signature block for every signer. Initials appear on 16 envelopes and checkboxes on 11, and those two are where most of the design decisions sit.

A document sent for e-signature needs about five fields. Across the 41 finished envelopes on this site, counted on 13 September 2026, the median is five fields per envelope and three per signer, from three fields on the smallest envelopes to thirteen on a three signer lease. Every one of the 76 signers gets exactly one signature or one signature block, and every one gets a stamped date. The variation is almost entirely in initials, typed details and checkboxes.
What was counted
The corpus is the e-signature example library on this site: 40 signing examples, each a real flow run in the product for a fictional Australian or overseas business, with the signers, the order, the identity check and the fields placed for each signer written out on the page. The bill of sale example sends two envelopes, one for the sale and one for the collection receipt, so the count covers 41 envelopes and 76 signers.
Each signer’s field list was read and sorted into the product’s field types: signature, signature block, initials, date signed, name, typed text and checkbox. A signature block counts as one field whatever lines it carries, and its Name, Title, Company and Date lines were counted separately. Where a page gives a total such as “Nine fields across one bound pack”, the count was checked against it and corrected where one line listed several typed fields.
Two limits on what this shows. It is one site’s example set, built to show a complete flow for each kind of document, not a sample of envelopes sent by businesses, and the library grows as examples are added. It also counts fields as placed, not whether each was the right choice.
Fields by type
The table below this article lists the seven field types in use, with how many envelopes use each and how many a typical envelope carries.
Signatures come in one of two forms. 35 signers get a plain signature field and 41 get a signature block, and no signer gets both. Blocks are the choice for anyone signing on behalf of a company: all 41 blocks carry a Name line and a Date line, 32 add a Title line and 24 add a Company line.
Typed text is common. 26 envelopes ask a signer to type something, 38 fields in all. These are the details only the signer knows at the moment of signing: an emergency contact, a carpentry licence number, a purchase order reference, an ABN and BSB, the odometer reading on a vehicle sale, or a forwarding address on a tenancy notice. The sender cannot type a value into any field in advance, so anything already known belongs in the PDF before upload.
Name fields are rarer than you might expect, on 11 envelopes. Most signers identify themselves through a block’s Name line instead.
The median signer completes three fields and makes one mark. That second number matters: in the portal one drawn signature fills every signature, initials and block spot for that signer at once, so a signer with two initials spots and a signature still draws only once.
Initials, page by page or clause by clause
16 envelopes carry initials, 41 initials fields in all, and they split evenly into two approaches.
Page by page, on 8 envelopes. The signer initials every page before the signing page. The supplier agreement signing example gives the supplier initials on pages 1 to 5, the most in one envelope for a single signer. The employment contract, IP assignment, casual employment agreement, performance improvement plan, sales contract, contractor onboarding pack and residential lease do the same.
Beside one clause or table, on 8 envelopes. The initials sit only where a specific term needs to be shown as read: a fee table on a freelance agreement, a stage payment table on a contractor agreement, a territory schedule on a distribution agreement, the key terms and the guarantee on a loan. The non-compete agreement signing example puts one initials spot beside each of four restraints on a single page.
Initials cluster in formal agreements. All 9 envelopes in the contracts and agreements group carry them, against 3 of 14 HR envelopes, 3 of 11 sales envelopes and none of the 5 consents and releases. On 4 envelopes more than one party initials: a loan, a mutual NDA, a vehicle sale and the residential lease, where both tenants and the landlord initial pages 1 and 2.
Neither approach is required by the Electronic Transactions Act, which asks that a method identifies the signer and shows their intention. Initials are evidence that a page or a term was seen, which is useful when a later dispute is about what the document said, not whether it was signed.
Date fields
Every signer in the set has a date: 35 through a date signed field and 41 through the Date line of their signature block. That is deliberate, and the design makes it cheap.
A date signed field is never typed. It is stamped from the moment the signer submits, and a block’s Date line fills from the same instant, so a signer cannot write in a different day. The stamped format is a short month, day and year, such as Aug 22, 2026, which reads a little differently from the day first dates Australian documents usually print. If the document itself needs a date written the local way, such as a commencement date, put that in the PDF before sending rather than asking the signer to type it.
Five envelopes carry more than one date signed field, one for each signer who uses a plain signature rather than a block: the photo release has three, and an employment contract, an offer letter, a timesheet approval and the residential lease have two each.
The checkbox problem
11 envelopes use checkboxes, 27 fields in all. They sit on acknowledgements and consents: six statement boxes on a research consent, six workspace items on a remote work agreement, four acknowledgements on a liability waiver, three statements on a policy acknowledgement, two risk statements on a medical consent.
The catch is how a checkbox behaves. A placed checkbox is not a tick control in the signing portal: the field falls through to an ordinary input, so the signer types into a small box. When the file is stamped, the letter X is printed whenever the field carries any value at all, whatever was typed. The only real tick box in the portal is the consent gate every signer accepts before signing.
That has two consequences. First, a checkbox records that something was entered, not a yes or a no, so word each statement so that marking it can only mean agreement, and set it as required. Second, a checkbox cannot offer a choice between options. The consent form signing example handles both by printing six statements on the page, placing one required checkbox over each, and asking for nothing else in them.
If a document needs a genuine choice, such as option A or option B, print the options in the PDF and use a typed text field for the answer, or send a separate envelope per option.
A field checklist
For a typical two party agreement, the envelopes in this set suggest a short list:
- One signature or one block per signer. Use a block for anyone signing for a company, with Name, Title, Company and Date as needed.
- A date for every signer. A block’s Date line covers it; otherwise add a date signed field beside the signature.
- Initials only with a reason. Page by page on a long agreement or a lease; beside the clause on a document where one term carries the risk.
- Typed fields for what only the signer knows. Emergency contacts, references, licence and account numbers.
- Checkboxes for statements, never for choices. Mark them required.
- More reading fields on the first signer. The countersigner usually needs only a block.
Keep the total near the median of five. An envelope with twenty fields on a two page document is usually asking for initials where one acknowledgement would do.

A finished example
Signing a lease online means one envelope, three signers and no waiting: both tenants and the landlord are invited at once and can sign the same afternoon. This three page tenancy agreement for 2/14 Marlow Street carries thirteen fields, initials for everyone on the first two pages, and an access code for each tenant that the agent read out by phone.

What is the minimum number of fields for an e-signature?
One. In this product every signer needs at least one signature, initials or signature block field before the envelope can be sent, and a date signed field on its own does not count. In practice add a date as well: every one of the 76 signers in this set gets a stamped date, either as its own field or as the Date line of a block.
Do I need initials on every page of a contract?
Only when you want proof that each page was seen. It is a convention for multi page agreements and leases rather than a rule the software enforces. In this set 8 envelopes place initials page by page and 8 place them only beside the clause that matters, such as a fee table, a guarantee or a list of restraints. Both approaches are common.
Should the date be a field the signer types?
No. A date signed field is stamped from the moment the signer submits, and the Date line of a signature block fills the same way, so neither can be typed or backdated. The stamped format is a short month, day and year, for example Aug 22, 2026, and the same instant is recorded in the certificate of completion.
Can the sender fill in a field before sending?
No. The editor offers a field label and a required switch but no value input, so every text and checkbox value is typed by the recipient the field is assigned to. Information you already know, such as a price or a start date, belongs in the PDF itself before upload. Only the name field arrives prefilled from the recipient's details.
What is the difference between a signature and a signature block?
A signature field is just the drawn or typed mark. A signature block adds labelled lines beneath it, chosen from four: Name, Title, Company and Date, with Name and Date by default. In this set 41 signers use a block and 35 use a plain signature, and no signer gets both. Blocks suit anyone signing for a company.
How many fields can one envelope hold?
Up to 500 across all recipients, which no real document gets near. The busiest envelope in this set has 13 fields, a three signer residential lease with initials for everyone, and the median is five. If a draft needs dozens, check whether initials are being placed where a single acknowledgement checkbox and one signature would record the same thing.

Initials on every page: when it matters and how to do it
People initial every page of a contract to show each page was in front of them and to make a swapped page obvious later. On a signed and certified PDF the second job is already done, so initials are worth placing where a page or clause genuinely needs its own acknowledgement.
E-signature for a lease agreement
A lease is the multi-party case: one landlord or agent, two or three tenants, initials on every page and a condition report that has to travel with it. The shape of the request matters more here than on any other document.
How many signers does a contract have?
Most contracts have two signers: 25 of the 41 finished e-signature envelopes on this site carry exactly two, 11 carry one and 5 carry three. When more than one person signs, the order is enforced in 25 of 30 envelopes, and the party with more to accept usually goes first.
