A Fillout alternative for AI forms, PDFs and signatures
Fillout gives away a thousand responses a month and wires forms straight into Airtable, Notion and Salesforce, which is a hard combination to beat on price. The product compared here trades that integration depth for generation and paperwork: a form written from a sentence or rebuilt from a PDF, exported as a fillable PDF, and signed with a certificate at the end.

The short verdict
Fillout is the better buy for a team whose forms feed a database, need bookings or take card payments, and whose volume fits a generous free tier. OneCraft answers a different question: turning a description or an old paper form into a working web form, and getting the answers back out as a fillable or signed PDF.
| Feature | Fillout | OneCraft |
|---|---|---|
| Free plan | $0 a month with 1,000 responses a month, unlimited forms and unlimited seats checked 2026-09-20 | $0 a month with 100 AI credits, and the blank template PDF carries no plan gate at all; the fillable PDF export opens at Starter |
| Paid tiers | Starter $15 a month or $180 a year with 2,000 responses a month; Pro $40 or $480 with 5,000; Business $75 or $900 with unlimited responses checked 2026-09-20 | Starter $8, Pro $25 and Pro+ $125 a month for 500, 1,500 and 7,500 AI credits; the fillable PDF export opens at Starter, and the response PDF has no plan gate |
| Seats | Unlimited seats listed on every plan, free included checked 2026-09-20 | No seat count is published. What is controlled is who can fill the form: public, secret key, login required or domain restricted |
| Database sync | Create and update records in your Airtable bases, create and update entries in your Notion databases, and create or update Salesforce records from a form checked 2026-09-20 | No database or CRM connector. One webhook posts the response as JSON once, with a ten second timeout, no retry and no redirect following |
| Scheduling | Scheduling listed as included on every plan, free included checked 2026-09-20 | No booking of any kind. A date field takes a format string and a time field runs on a 12 or 24 hour clock |
| Payments | Payments listed as included on every plan, free included checked 2026-09-20 | A form cannot take money. There is no payment component and no gateway |
| Building from text | Describe the form you want, or copy and paste questions to import a specific form checked 2026-09-20 | A prompt of up to 10,000 characters sets the fields, sections, welcome screen and theme, with the language free typed and 32 suggestions offered |
| Building from a PDF or a photo | Choose the From PDF option and upload the PDF you wish to convert to an online form checked 2026-09-20 | Up to 5 attachments of 10 MB each on a paid plan, as PDF, TXT, PNG, JPG, WebP or GIF, so a photo of a paper form works as well as a PDF |
| One question at a time | Not published as a separate form type on the pages checked checked 2026-09-20 | Conversational forms are a separate type with their own 25 component toolkit, including recorded audio and video answers |
| Components | Not itemised as a count on the pages checked checked 2026-09-20 | 41 component types in total: a 36 item classic toolkit and a 25 item conversational one, including matrix, table and fill in the blank |
| Signing the response | Not published on the pages checked checked 2026-09-20 | An add-on turns each submitted response into a signing envelope, one recipient per e-signature component, ending in a PAdES certified PDF |
| Uploads | File uploads listed as included on every plan checked 2026-09-20 | 1 to 10 files per field at 1 to 100 MB each, with two type switches only: images and PDF. Arbitrary extensions cannot be allowed |
Where Fillout is better
The free tier is genuinely generous
A thousand responses a month, unlimited forms and unlimited seats at no cost is more collection capacity than most small teams will use in a year. Anyone choosing on cost alone for a pure data collection job should look hard at that before reading further, because nothing here undercuts it.
Answers land in the database you already use
Fillout creates and updates records in Airtable bases and Notion databases, and creates or updates Salesforce records straight from a form. That removes the glue code entirely. The OneCraft equivalent is a single webhook that fires once per submission with no retry, so the glue code is yours to write, host and monitor.
Bookings and payments are included everywhere
Scheduling and payments appear on every Fillout plan including the free one. A consultation booking that also takes a deposit is one form there. Here it is two systems: a form that records a preferred time, and something else entirely to collect the money and hold the slot.
Seats are not a decision
Unlimited seats on every tier means a whole team can build without a licence conversation. OneCraft's published pricing does not describe collaborator roles at all, so shared access effectively means a shared login, which is workable for one or two people and poor practice for a department.
Where OneCraft is different
A photograph of the paper form is a valid starting point
Fillout imports a PDF. The generator here accepts up to five attachments of 10 MB in PDF, TXT, PNG, JPG, WebP or GIF, so the phone photo of the sheet on the reception counter works the same way a clean PDF does. The layout is not preserved; the questions are read and rebuilt.
Two form types, not one with options
Classic forms and conversational forms are separate types with separate toolkits, 36 components against 25, and separate theme sets. The conversational one carries recorded audio and video answers and a combined profile screen, none of which exist on the classic side.
Paper is a first class output
A blank template PDF downloads with no plan gate, a fillable PDF export opens on the Starter plan, which matters for any office that still hands a clipboard to somebody at a counter. The filled response renders through a layout editor where fields are placed deliberately, and generation is queued and polled for up to five minutes.
Signing is part of the same account
Switching on the e-signing add-on turns each submission into an envelope with up to 25 recipients, an identity check of email link, access code or six digit code, a hash chained trail of 18 event types, and a certified PDF that carries its own certificate of completion.

Fillout lists four tiers: free at $0 with 1,000 responses a month, Starter at $15 a month or $180 a year with 2,000, Pro at $40 or $480 with 5,000, and Business at $75 or $900 with responses uncapped. Every tier says unlimited forms and unlimited seats. OneCraft lists $0, $8, $25 and $125 a month, buying 150, 500, 1,500 and 7,500 AI credits, with no response ceiling printed at all. Read that carefully before choosing: a form gathering ten thousand answers a month costs nothing extra here and moves a Fillout account up a tier, while an account generating twenty new forms a week will run out of credits here and cost nothing extra there.
Rebuilding a Fillout form somewhere else
The two products both accept a PDF as an input, which makes the move unusually clean for a plain questionnaire. Export the Fillout form as a PDF, attach it to the generator on a paid plan, and check what comes back for required flags, option lists and field kinds. What will not travel is everything that made the form part of a workflow: the Airtable or Notion write, the scheduling block, the payment step. Those have to be replaced outside the form or left behind, and collected responses should be exported to CSV before the old account is closed.
Claims this page would not make
Fillout does not publish a total integration count, only categories of most popular, native and partner integrations, so no number appears above. It does not publish a component count or a theme count on the pages read for this comparison, and it does not describe a one question at a time layout or a signing feature there, so those cells say not published rather than asserting an absence. Anything Fillout has added since the date above will not be reflected here.
Where the OneCraft figures come from
Each figure in the right hand column traces to a line in an internal ledger read out of the running code: 41 component types, 36 and 25 item toolkits, a file upload field that allows 1 to 10 files of up to 100 MB with only two type switches, a webhook that fires once and never retries, four access types, 18 audited signing events. Where the ledger records an absence, the table says so plainly, which is why payments, scheduling and database sync read as flat no rather than as future work.
Who should stay with Fillout
Stay with Fillout if the form has to write into Airtable, Notion or Salesforce, if it books a time or takes a payment, or if a thousand free responses a month already covers the job. Those integrations are the product, and nothing in this comparison replaces them.
Questions people ask
Is there a free plan, and what does it limit?
Yes, at $0 a month with 100 AI credits, described on the pricing page as about three AI projects, plus limited exports. What it does not limit is responses: no submission ceiling is printed. Fillout's free tier is the opposite shape, capping responses at 1,000 a month while leaving building unmetered.
Can a form write to Airtable or Notion?
No. There is no database connector. The one outbound path is a webhook that posts the response once as JSON, with the fields keyed by label and by id, a ten second timeout and no retry. Anything that lands rows in Airtable or Notion has to be your own service listening on that URL.
Does the generator accept an existing form as input?
Yes, on a paid plan. Up to five attachments of 10 MB each are read, in PDF, TXT, PNG, JPG, WebP or GIF, so both an exported PDF and a photograph of a printed sheet work. The questions are read and rebuilt in the product's own layout, and the original design is not preserved.
What file types can respondents upload?
A file upload field takes between 1 and 10 files, each between 1 and 100 MB with a default of 10 MB, and the allowed types are two switches only: images and PDF. Other extensions cannot be permitted, so a form collecting spreadsheets or archives needs a different tool.
How is a response turned into a signed document?
The e-signing add-on creates one envelope per submitted response and one recipient per e-signature component on the form. The signer opens an emailed link, passes the chosen identity check, and signs. The completed PDF is PAdES certified and the audit trail behind it records 18 event types in a verifiable hash chain.
Can several people build forms in one account?
The pricing page meters AI credits and says nothing about seats or roles, so there is no per user licence to buy and no permission model to configure. Fillout advertises unlimited seats on every tier, which is the cleaner answer for a team that needs separate logins and accountable edits.
