Wedding RSVP questions that settle the final numbers

Ask 8 to 10. Never skip the name of the person replying, whether they are coming, and the names of everyone in their party. Meal choices and allergies come next, because the caterer needs them by the final numbers date. Songs, accommodation and messages are welcome extras.

A wedding RSVP has to settle who is coming, exactly who is in each party and what every guest can eat, in time for the caterer's final numbers. These questions go past yes or no to the details couples otherwise chase by text message in the last fortnight.

Which questions to make required

Two questions are required: who is replying and whether they are coming. An RSVP with no name cannot be matched to the guest list, and one without an answer is not a reply. Party names, meals and allergies stay optional because a guest who declines has nothing to put there, and a required meal question would make them choose food for a day they will miss.

For an engagement party or a milestone birthday with a single menu, delete the meal questions and keep only diets and allergies, drop the ceremony question, and ask whether the guest is bringing the partner named on the invitation. For a destination wedding, add the date the guest arrives and leaves, how many nights they need in the room block, and which of the organised outings they want to join, and move the RSVP deadline months earlier. For a corporate gala dinner, replace the song and message with the guest's company and job title for the name badge, ask who they would like to be seated near, and keep meals, diets, allergies and access needs exactly as they are, because a caterer asks the same things of every event.

How do you stop guests adding people who were not invited?

Write the invited number into the question, for example how many people, including you, are coming, up to two. A conversational number field does not block a higher number in the browser, so check the replies against the guest list when they arrive and contact anyone whose party grew, rather than relying on the form.

Should meal choices go on the RSVP or be asked later?

On the RSVP, when the menu is settled. One message is easier for guests than two, and replies to a second request trail off. If the caterer has not confirmed the menu yet, collect attendance and allergies now and send a short meal choice form to confirmed guests once the options are final.

What is the difference between a diet and an allergy on an RSVP?

A diet is a preference or practice, such as vegetarian or halal, and a caterer plans a dish for it. An allergy can cause a serious reaction, and the kitchen has to prevent cross contact as well. Ask the two separately so allergies stand out, and send the caterer the allergy list on its own.

How do the replies become a seating plan?

Export the responses, which arrive as a CSV with one column per question. Party names typed one per line split cleanly into rows. A table question exports as a single column holding the rows as a JSON list, so if the planner works only in a spreadsheet, the one name per line question is easier to handle.

Should a wedding RSVP ask for a phone number?

Yes, as an optional question that says why. Weather changes, a moved start time or a shuttle running late all need a quick message on the day, and email is too slow for that. Guests are happier to share a number when the label tells them it is only for last minute changes.

Can guests change their answer after replying?

Plan for it. Put a line on the thank you screen telling guests how to update a reply, such as messaging the couple or the planner, and agree that the latest reply from a guest is the one that counts. Check for duplicate names in the export before the final numbers go to the caterer.
