Photography proposal template

Photography proposal template for brand and event shoots

A shoot is mostly preparation and editing, and this photography proposal template prices it that way: pre-production, one shoot day, photo editing and video editing as separate lines, with usage rights spelled out so the client knows exactly what they can do with the files.

9 sections, a cover page, 6 priced items (2 optional), AUD with GST, 50% deposit, valid 21 days

About us

[Your company] shoots photography and video for brands that want images that look like them, not like stock. [Describe your style, your kit and the kinds of shoots you do most.]

Understanding your needs

[Client company] needs a library of images and short video for [website, social and campaigns]. [Note the locations, the people involved, the deadline and the look you discussed.]

What success looks like. A consistent set of images and clips the team can use across every channel for the next year, delivered on time and organised by use.

Our approach

Good shoot days are planned days. We handle the planning so the day itself is calm.

Pre-production:

Shoot day:
[One] full day on location with photographer, videographer and assistant, lighting and sound included.
Edit:
Culling, colour grading and retouching for the photo set; a cut of each video with music and captions.
Delivery:
Final files in web and print sizes through an online gallery, organised by scene and use.

1. Payment. A 50 percent deposit is due on acceptance and secures the start date. The balance is invoiced on completion and payable within 14 days. Work does not begin until the deposit is received.

2. Changes to scope. One round of changes is included on the photo selection and on each video cut. Re-shoots are quoted as a new shoot day.

3. Cancellation. A shoot cancelled or moved with less than seven days notice forfeits the deposit. Weather calls for outdoor shoots are made the day before and rescheduled without charge once.

Questions people ask

What deliverables does the template list?

A shot list and call sheet, eighty edited photographs in web and print sizes, three short videos of 30 to 60 seconds, an online gallery with download rights and a raw footage archive kept for 12 months. The numbers are in brackets so you can match them to the package you actually sell.

How are usage rights handled?

The usage rights clause gives the client an unlimited, perpetual licence to use the delivered images and videos for its own marketing. Reselling or passing the files to a third party needs written agreement. If you license by term or channel instead, rewrite this clause before you send.

What does the client pay up front?

Half. The deposit is 50 percent of the $7,480 total, which is $3,740, due on acceptance to secure the shoot date. A shoot cancelled or moved with less than seven days notice forfeits the deposit, and an outdoor weather call made the day before is rescheduled once at no charge.

Which add-ons are optional?

An extra shoot day at $3,200 and drone footage at $900. Both appear in the table marked optional and are left out of the total until the client selects them. Because the deposit is a percent, ticking an extra day also raises the deposit before the client accepts.

When are the photos delivered?

The timeline promises a pre-production call in week one, the shoot on the booked date, a photo preview five days after the shoot and final delivery three weeks after it. One round of changes is included on the photo selection and on each video cut; re-shoots are quoted as a new day.
