Web designer proposal template
This web designer proposal template walks a client from the first workshop to launch day: what you heard in the briefing, four phases of work, a seven week timeline and a fixed price for each stage. The sample total is $11,550 with GST, and half of it is asked for up front.
9 sections, a cover page, 6 priced items (2 optional), AUD with GST, 50% deposit, valid 30 days

About us
[Your company] is a small web studio that designs and builds websites for service businesses. [Two or three sentences on who you are, how long you have been doing this and the kind of clients you work with.]
Understanding your needs
[Client company] needs a website that explains what you do in plain language, loads fast on a phone and turns visitors into enquiries. [Summarise what you heard in the briefing: the current site's problems, the audience, and the one action a visitor should take.]
What success looks like. A site you can update yourself, a clear enquiry path on every page, and a measurable lift in contact form submissions within three months of launch.
Our approach
We work in four short phases so you see progress every week and nothing is built on an assumption.
- Discovery:
- A 90 minute workshop to agree goals, audience, pages and tone, followed by a written sitemap and content plan.
- Design:
- Homepage concept first, then the remaining page templates in your brand, reviewed in two rounds.
- Build:
- Responsive build on a content management system you can edit, with forms, analytics and search engine basics in place.
- Launch:
- Content load, cross device testing, redirects from the old site and a handover session with a short video guide.

Terms
1. Payment. A 50 percent deposit is due on acceptance and secures the start date. The balance is invoiced on completion and payable within 14 days. Work does not begin until the deposit is received.
2. Changes to scope. Two rounds of revisions are included at the design stage. Extra rounds, new pages or features outside the scope above are quoted separately before any work starts.
3. Cancellation. Either party may cancel in writing. Work completed to that date is invoiced at the stage rates above and the deposit is not refundable once design has begun.
4. Intellectual property. Ownership of the final deliverables passes to [Client company] on receipt of final payment. [Your company] keeps the right to show the completed work in its portfolio unless asked in writing not to.
5. Content and approvals. [Client company] supplies text, images and brand files before the build phase and reviews each stage within five business days. Delays in supplying content move the launch date by the same amount.
6. Validity. This proposal is valid for 30 days from the date on the cover. Prices after that date may change with notice.

Questions people ask
What does the pricing table in this web designer proposal include?
Four fixed price lines: discovery and content plan at $1,200, design at $3,600, build and launch at $4,800 and content migration at $900. Two optional lines sit underneath, a hosting and care plan at $49 a month for 12 months and a logo refresh at $400. The optional lines show their price but stay out of the $11,550 total until the client ticks them.
Why does the template ask for a 50 percent deposit?
Design work starts early and is hard to reuse if a client walks away, so the payment clause secures the start date with half the fee and says work does not begin until it arrives. You can change the deposit to a different percent, a fixed amount or none in the Pricing panel before you send.
How many design revisions does it promise?
Two rounds at the design stage. The changes to scope clause says extra rounds, new pages or features outside the listed scope are quoted separately before any work starts, which protects the seven week timeline. Edit the number if your studio works differently; it is plain text in the terms.
Can my client choose the care plan themselves?
Yes. The care plan is an optional item that is not selected by default. On the tracked link the client can tick it, and the totals and deposit update on screen before they accept. Whatever they pick is what the acceptance records and what the first invoice is built from.
What does the client need to supply under this template?
The content and approvals clause asks for text, images and brand files before the build phase and a review of each stage within five business days. Late content moves the launch date by the same amount, a line that saves an argument when copy arrives three weeks after the design sign off.
How do I fill it in for a real client?
Choose Use this template, describe the site in the generator and give your prices as hints; the AI keeps this section order and puts every price you name in the table exactly. Or open it as is and replace the bracketed text, like the number of page templates and the client name, by hand.
