What each block of this application collects
The candidate block is one line carrying the name, the candidate number and the school, then a stage of candidature whose options include first year not yet confirmed and beyond third year with an extension, because both change how a panel weighs a trip. The conference block asks for the full name rather than the acronym, the city, country and dates in one line, and the presentation type as six options that end in attending only, which is an honest answer that many schemes fund at a lower rate. The abstract is pasted as accepted rather than uploaded, so the panel can read twenty of them in a list, and the acceptance letter is a separate upload that proves the abstract is not aspirational. The costs block is a six row table and two numbers, one requested and one already secured, which together give the panel the net ask.
Why the cost table has a how it was estimated column
Every grant panel has read a budget where flights are 1,800 and accommodation is 1,200 and nothing explains either. The fourth column asks where the figure came from: a quoted fare, the registration page, a nightly rate times the nights. It takes the applicant a few extra words per row and it changes the assessment entirely, because a panel can approve a well evidenced 2,400 in a minute while an unevidenced 2,000 goes back for questions and misses a month. The currency column exists for the same reason. An applicant flying to a conference abroad pays registration in one currency and hotels in another, and forcing a conversion at application time introduces an error that nobody can audit later.
How to adapt this form
A scheme that pays in advance rather than reimbursing swaps the second declaration tick for bank details and adds an acquittal date field, since the risk moves from the applicant to the office. A faculty fund that supports fieldwork as well as conferences turns the presentation radio into an activity radio and adds a risk assessment upload, because fieldwork carries an approval that a conference does not. What makes this form work
Every cost row carries its basis
Six rows of item, currency, amount and how the figure was estimated. A quoted fare and a nightly rate times the nights are approvable on sight, and a blank basis is the row that gets the phone call, so applicants fill it in and the panel sits for half as long.
Two numbers give the panel the net ask
Total requested is capped at the three thousand scheme limit and funding already secured sits next to it. Together they turn a budget into a decision, and they make a partially funded applicant look stronger rather than penalising them for having found money elsewhere.
The endorsement is triggered, not collected
The supervisor field takes a name and a university email, and the paragraph beneath it says the request goes out automatically on submission. Nothing waits on the busiest person in the chain, which is the single biggest cause of a travel application missing its round.
Questions people ask
Why paste the abstract instead of attaching it?
Because a panel reads twenty applications in one sitting and twenty attachments turn that into an hour of opening files. A pasted abstract sits in the response table beside the costs, sorts and searches, and exports into the meeting papers. The acceptance letter stays an upload because it has to be seen as it arrived, sender and date included.
What counts as evidence of acceptance?

Why does the form ask about funding already secured?
Because the panel is deciding the net ask, not the total cost of the trip. A candidate with a partial award from a society or a supervisor project account is asking this scheme for less, which usually makes the application stronger rather than weaker. Leaving it out means two applications that look identical are in fact very different.
Does the supervisor need to do anything before the application is submitted?
No. The paragraph above the declaration says the endorsement request is sent automatically once the form arrives, and the thank you screen repeats it. Requiring a signed endorsement first is the most common way a travel grant misses a deadline, since supervisors are the busiest people in the chain.
Can the total requested be more than the cap?
No. The number field is capped at three thousand, which is the scheme limit, so an over cap figure is caught at the keyboard on a classic form rather than in assessment. The cost table can total more than that, because a trip often costs more than a single grant covers and the difference is shown in the other funding field.
What happens if the conference is cancelled after a grant is approved?
Since payment is a reimbursement against receipts, an approved grant that is not spent simply is not paid, and the second declaration tick sets that expectation before anyone books. A candidate who has already paid a non refundable registration should contact the research office rather than submitting a second application.
