What an application form has to do that other forms do not

A registration form records somebody who has already decided. An application form collects enough to compare strangers against each other and to reject most of them fairly. That changes the shape: the questions have to be answerable by every applicant, scored the same way, and defensible if somebody asks why they missed out. It also means the form carries documents, because a resume, a portfolio, a certificate of currency or a bank statement is usually the part that decides it. File upload fields here accept images and PDFs, so applications that need a document say which format in the label.

Choosing the closest starting point

Match by what is being assessed. Employment applications, from casual roles to teaching positions and apprenticeships, ask about eligibility to work, availability and the checks the role requires. Money applications, meaning credit, trade accounts, wholesale accounts, guarantors and hardship, ask for identity, financial position and referees, and they carry the heaviest privacy obligations. Opportunity applications, such as grants, bursaries, residencies, accelerators and mentorships, ask for a proposal and a budget, so their longest fields are open text. Permit style applications, market stalls, food trucks and exhibition proposals, ask for insurance, licences and a plan of what will be on site.

Where applicants abandon, and what to do about it

The two places people give up are a wall of questions with no sense of length, and a document request they cannot satisfy on their phone. Both are fixable in the form. A welcome screen that states how long it takes and what to have ready cuts the first. Putting document uploads at the end, after the applicant has invested effort, cuts the second. On these pages the classic layout is used where an applicant will work through the form at a desk with paperwork beside them, and the conversational layout where the application is short enough to finish on a phone in one sitting.
