Event plan, Lanterns Gala 2027, Harbourlight Hearing Trust

Event plan template with budget, timeline and run sheet

An event plan has to show why the event is happening, what it will cost against what it will bring in, and who does what from the first booking to the last guest leaving. This seven page plan for a charity gala dinner for 300 does that with objectives against last year, a $62,000 budget and $153,200 income target, a planning timeline, vendors, guest access, a run sheet and risks.

1. The event

The Lanterns Gala is Harbourlight Hearing Trust's one large fundraising dinner of the year. This is its fourth year. It brings together donors, sponsors, families the Trust has helped and the audiologists who volunteer with us, for an evening that raises money and shows guests where it goes.

2. Objectives

$90,000 funds hearing tests for about 1,500 children at $60 each. That number is on the invitation, in the speeches and on the donation cards.

7. Guests, access and sponsors

Many guests, and some of the families we invite, are deaf or hard of hearing. An event for a hearing charity that guests cannot follow would undo the evening, so access is planned as carefully as the menu.

Hearing loop and captions
A portable hearing loop covers tables 1 to 12, and live captions run on both screens for every speech and the auction.
Sign language interpreters
Two interpreters work in turns from 7.15 pm to 11.00 pm, placed beside the stage and lit.
Seating
Guests who use the loop or interpreters are seated at the front tables; requests are collected with dietary needs on the booking form.
Quiet room
A side room with low lighting is open all evening for anyone who needs a break from the noise.
Step free access
Ramp entry from Pier Street, an accessible toilet on the ballroom level and two reserved parking bays.
Sponsor recognition
Each $5,000 sponsor receives

How to adapt this document

First, set the objectives before the budget, then cut any cost that does not serve one; a corporate conference might swap net funds for leads or attendee ratings. Second, replace the access section with what your guests need, such as step free routes, dietary needs or interpreters in community languages, and ask on the booking form. Third, if the event is outdoors or public, expand the risks into a full safety plan with crowd, weather and first aid arrangements.

What makes this document work

Costs are judged against the result

The budget caps costs at $62,000 with a basis for every line, such as 300 dinners at $120, and a 4.1% contingency only the event lead can release. Income of $153,200 from tickets, sponsors, auction, raffle and pledges leaves $91,200, against a $90,000 target that funds 1,500 hearing tests.

Access fits the cause

For a hearing charity, an evening guests cannot follow would undo the point. The plan books a hearing loop for tables 1 to 12, live captions on both screens, two sign language interpreters from 7.15 pm, front table seating by request and a quiet room, all named in section 7.

The night runs to the minute

Fourteen timed lines run from set up at 3.00 pm to winners collecting lots at 11.30 pm, each with an owner. The pledge moment sits after the family's story and the live auction, and the total raised so far is announced before guests leave.

Questions people ask

What should an event plan include?

At minimum, the purpose and measurable objectives, a budget with income if the event raises money, a planning timeline with owners, the suppliers and what each is paid, a run sheet for the day, the people working it and the risks with responses. A plan that has these can be handed to a new organiser and still work.

How much contingency should an event budget hold?

Many organisers hold five to ten percent of costs, more for a first time event or an outdoor one. This gala holds 4.1% because it is in its fourth year at a venue with a fixed per head price. Make one person responsible for releasing contingency, so it is not spent in small amounts on extras.

How far in advance should a gala dinner be planned?

Seven to nine months is common for a dinner of a few hundred guests: the venue and date first, sponsors next because companies plan budgets early, then suppliers, invitations about three months out, and final numbers to the venue about two weeks before. This plan runs from October to a May event.

What is the difference between a run sheet and an event plan?

The event plan covers the whole project over months: objectives, budget, suppliers, people and risks. The run sheet covers one day, usually minute by minute, showing what happens when and who is responsible. The run sheet sits inside the plan, and the event lead holds the master copy on the day.

How do you measure the success of a fundraising event?

Compare results with objectives set before the event: net funds after all costs, attendance, new donors who give again within a year, sponsors and guest ratings. Net funds matter more than gross takings, because an expensive event can raise a lot and keep little. Hold a debrief within two weeks and record changes for next year.
