Probation confirmed, Leila Nakhle, Mossvale Hardware

Probation confirmation letter with the confirmed terms in a table

Probation usually ends in silence, which leaves the employee guessing and the employer with no record that the period closed. This letter fixes the end date, restates five terms that now stand unchanged, names one thing the employee did well and sets the next review, all on one page.

Leila Nakhle, Store Assistant
Kingsholme store

Your probation period is complete and you are confirmed

Dear Leila, your six month probation ended on 30 November 2026 and your employment with Mossvale Hardware is confirmed on the terms below. Nothing in your contract changes.

Term
Confirmed from 1 December 2026
Position
Store Assistant, Kingsholme store
Employment type
Part time and ongoing, 24 hours a week
Rostered days
Thursday, Friday and Saturday, set four weeks ahead
Base rate
$28.40 an hour, unchanged, reviewed each July
Notice
Two weeks by either side, as clause 12 of your contract sets out
What stood out
You rebuilt the timber rack tickets without being asked, and mis-picks at the trade counter fell from eleven a week to two.

Your next review is on 1 June 2027 and it is a performance conversation, not a probation one. Before then, Tom Beltrame will keep doing the fortnightly catch ups, and the paid first aid course you asked about is booked for 14 March 2027.

Congratulations, and welcome to the team properly. Yours sincerely,

Rhiannon Sowden, Store Manager, Mossvale Hardware

How to adapt this document

For a confirmation that comes with a rate change, add a row for the old and new rate and the pay period the new one starts in, and keep the rest of the table as evidence that nothing else moved. For a role where probation was linked to a licence, a ticket or a clearance, add a row showing the licence held and its expiry, since that is the item most likely to be forgotten a year later. For a confirmation after an extended probation, name the original end date and the extended one, say which of the measures set at the extension were met, and drop the general praise, because the specific measures are the story.

What makes this document work

The date probation ended is the first fact

Your six month probation ended on 30 November 2026 and your employment is confirmed on the terms below. A letter that congratulates without naming the end date leaves the question of when the shorter notice period stopped applying, which is the only question that matters later.

Five terms are restated even though none of them changed

Position, employment type of part time and ongoing at 24 hours a week, the Thursday, Friday and Saturday roster set four weeks ahead, $28.40 an hour reviewed each July, and two weeks notice under clause 12. Restating the terms turns a courtesy note into the record of what was agreed.

The praise is one measured thing, not a paragraph of adjectives

The callout says the timber rack tickets were rebuilt without being asked and mis-picks at the trade counter fell from eleven a week to two. A number tells the employee which behaviour to repeat, which a sentence about a great attitude never does.

Questions people ask

Does an employer have to confirm probation in writing?

There is usually no legal requirement, but the letter is worth writing. It fixes the date the probation ended, which is what determines the notice period from then on, and it removes any argument that the employee was still on probation months later. It also closes a period people otherwise treat as open ended.

What happens to notice once probation ends?

It usually lengthens, from whatever the contract set for probation to the contractual or minimum period after it. This letter states two weeks by either side under clause 12 of the contract, so the employee can see what changed. Employers should check the contract and the minimum standards side by side before writing the number.

Can an employer confirm probation early?

Yes. If the employee is plainly meeting the standard, confirming at four or five months costs nothing and is remembered. Write the same letter with the actual date, rather than the contractual end, so the record shows when probation genuinely finished.

Should the letter include a pay rise?

Only if one was agreed. This letter says the rate is unchanged and reviewed each July, which is more honest than implying the review is tied to probation. Tying every confirmation to a rise makes the next confirmation letter a disappointment when the budget will not allow one.

What if the employee has not met the standard?

Then the letter is an extension or an ending, not a confirmation, and both need their own process. An extension needs reasons, measures and a review date. Confirming someone by default and raising the problems afterwards is the sequence that leads to disputes.

Does confirming probation change the employment contract?

No. The contract continues on the terms it always had, which is why this letter says nothing in your contract changes and then lists those terms. If something is genuinely changing, such as hours or a rate, it needs its own letter and the employee's agreement.
