Resignation, Priya Raman, Team Leader
Resignation letter template that says the last day and stops
A resignation letter template has one job, to start the notice period on a date nobody can dispute, and every extra sentence is a risk. This finished example names Friday 2 October 2026 as the last day, offers a handover of three named things, asks for the final pay date and leave balance in writing, and is six sentences long.

Clauses in this document
Notice periods: what your contract, the award and the law say
Three documents can speak to how much notice you give. Your contract usually names a period, four weeks here, and that is the one you follow. If the contract is silent, the award or enterprise agreement often sets employee notice, commonly one to four weeks. The National Employment Standards table, one week under a year of service rising to four weeks over five years, binds the employer's side, but it is the reference point tribunals reach for when nothing else is written down. Casual employees generally owe no notice at all. When the numbers conflict, follow the contract, and if it matters, ask before you pick the date.
How to adapt this document
For an immediate resignation, replace the first paragraph with a sentence that resigns effective today, keep the reasons out even if the exit is unhappy, and still ask for the final pay date and leave balance in writing. For a casual role, no notice period applies in most cases, so name your last shift and drop the key values strip. For an email version, use the same four paragraphs as the email body, put the position in the subject line, and attach the PDF so the wording is fixed. The skeleton never changes: the date notice is given, the last day as a calendar date, one handover offer, two questions in writing, one thank you sentence.
What makes this document work
The last day is a date, not a formula
The first paragraph says the last day of employment is Friday 2 October 2026, not four weeks from today. That sentence stops the only argument a resignation produces, which is when notice started and when it ends. The key values strip at the foot repeats the date so nobody has to re-read the letter to find it.
The handover names three things and promises nothing else
The second paragraph offers to hand over the roster, the stocktake schedule and the two open supplier issues. Naming three concrete items reads as professional and makes the offer easy to accept, without promising unpaid work after 2 October or an open ended commitment to be available later.
Two questions go on the record
The letter asks for the final pay date and the accrued annual leave balance in writing. Both answers then exist as documents rather than as a conversation at the till, which is exactly what you want if the final payslip is short or the leave balance is disputed after you have left.
Questions people ask
How much notice do I have to give when I resign?
Whatever your employment contract says, four weeks in this example. If the contract is silent, the award or registered agreement usually sets a minimum, and otherwise a reasonable period applies. An employee's notice comes from the contract or award, so read yours before you pick the date.
Should I say why I am leaving in the letter?
No. The letter is a record that notice was given on a date, and reasons written in the heat of the moment follow you into references and exit paperwork. Save the feedback for the exit interview, where it can be honest and useful. This example thanks the manager in one sentence and stops, which is all a resignation letter owes anyone.
Can my employer make me leave before the last day?
Often yes, by paying out the remainder of the notice period instead of having you work it, where the contract or award allows payment in lieu. They can also release you earlier at your request. Either way the letter still fixes the date notice was given, which is why it is written as a date.
What happens to my annual leave when I resign?
Accrued untaken annual leave is paid out with your final pay, with leave loading where the award provides it. Personal and carer's leave is not paid out. This letter asks for the leave balance in writing during the notice period, so the final payslip can be checked against a number you already hold.
Is an email resignation acceptable, or does it need to be a letter?
Either works in most jobs; what matters is that notice was clearly given on a known date. The practical answer is to write the letter, export the PDF and send it by email, so the words are fixed and the timestamp proves the date.
What if I want to leave sooner than my notice period allows?
Ask. An employer can agree to a shorter period, and often will once a handover plan is on the table, which is why this letter names the three things it will hand over. Leaving early without agreement is a breach of contract, and some awards let the employer withhold part of your final pay.

Reference letter template that is specific enough to be useful
A reference that says hard working and reliable helps nobody, and a reference that promises things can hurt the writer. This letter gives dates, four duties, two examples with numbers and a recommendation phrased as an opinion, which is what a hiring manager reads for and what an employer can safely sign.
Job offer letter
An offer of $98,000 plus $11,760 of superannuation, with the three checks it depends on and a clear instruction not to resign until they clear. The letter also names what is not in the offer, which is the part candidates most often assume.
Termination letter template that shows the final pay
A termination letter is read twice, once by the employee in the meeting and once by a lawyer or a tribunal months later, and both need the same facts. This one states the reason and the process in dates, shows the final pay as a table with each component, and says what happens next, so there is nothing to ask afterwards.
