Dishonoured payment notice after a failed direct debit

A dishonoured payment notice tells a customer that a payment bounced, what they now owe including any fee, when the business will try again and how else they can pay. Written well, it fixes a failed direct debit without embarrassing the customer or losing the membership.

Your direct debit of 1 October was dishonoured

Dear Marcus, your fortnightly membership payment could not be collected. Your bank returned it with the reason “insufficient funds”. This happens to members from time to time, and the steps below put it right.

Item
Amount
Fortnightly membership, due Thursday 1 October 2026
$59.80
Dishonour fee, as set out in clause 7 of your membership terms
$9.00
To be debited on Thursday 8 October 2026
$68.80

We will try the same account again on Thursday 8 October 2026 for $68.80. Your next regular payment of $59.80 is still due on Thursday 15 October 2026. Your membership stays active in the meantime.

If you pay before 8 October, or need to change accounts
Paying $68.80 by any of the three ways above cancels the retry, so you are not charged twice. To move your debit to another account, update it in the app at least two business days before the retry. If the retry also fails, a second $9 fee applies and gym access is paused until the balance is paid.

How to adapt this document

For a monthly membership, replace the fortnightly amount and move the next regular payment date accordingly, checking it does not fall within a few days of the retry. For a business that does not charge a dishonour fee, delete the fee row and say so in the opening paragraph, which often prompts faster payment from goodwill. For a second failed payment, send a shorter follow up that repeats the balance, confirms access is paused and gives one direct contact, rather than resending this notice unchanged.

What makes this document work

The amounts add up and the fee has a source

$59.80 of fortnightly membership due Thursday 1 October 2026 plus a $9.00 dishonour fee makes $68.80, and the fee row cites clause 7 of the membership terms. A fee that points to the agreement the member signed is much less likely to be disputed than one that simply appears.

The next two dates are both stated

The retry is Thursday 8 October 2026 for $68.80, and the next regular payment of $59.80 is still due on Thursday 15 October. Putting both dates in one paragraph stops the member being surprised by two debits a week apart.

Three ways out, and no double charge

Front desk, member app or bank transfer with the member number as reference, and the callout says paying any of these cancels the retry so nobody is charged twice. It also says what happens if the retry fails: a second fee and access paused until paid.

Questions people ask

What does dishonoured payment mean?

It means the payer's bank refused or returned a payment, most often a direct debit or a cheque, usually because there were insufficient funds or the account details were wrong. The business does not receive the money and may be charged a fee by its own bank, which is why many agreements allow a dishonour fee.

Can a business charge a dishonour fee?

Only if the customer agreed to it, usually in the membership or service terms, and the fee should reflect the real cost of the failed payment rather than act as a penalty. This notice states $9 and points to clause 7 of the terms. A fee not in the agreement should not be added.

How soon should a failed payment be retried?

Far enough ahead for the customer to read the notice and fix the problem, usually several days to a week. This notice is sent the day after the failure, with the retry a week later on 8 October. Retrying the next morning with no warning often fails again and adds a second fee.

Should the notice say why the payment failed?

It can repeat the reason the bank gave, as this one does with insufficient funds, but it should not speculate beyond it. Stating the bank's reason helps the customer fix the right problem, whether that is moving money, updating a card or changing to another account.

What happens if the retry also fails?

This gym charges a second $9 fee and pauses access until the balance is paid, and the notice says so in advance. Pausing rather than cancelling keeps the membership and gives the customer a clear way back. Whatever the policy, state it in the first notice so the second step is not a surprise.

Does a dishonoured payment notice need a signature?

No. It is an account notice rather than an agreement, so this one ends with a typed sign off from the member accounts team and an email address. What matters more is that the member number, amounts and dates are correct, because those are what the member will check against their bank statement.
