Industry kit
Plumber templates for quoting, contracting and getting paid
A plumbing business runs on five pieces of paper: the flyer that brings the call, the quote, the works contract, the invoice and the signed acceptance. This kit links a finished example of each, written for invented Australian plumbing businesses with real prices, GST and terms.
What a plumbing business needs on paper
Most plumbing jobs follow the same path. A customer finds the business on a flyer, a listing or a website, books a visit, gets a written quote, agrees to it, and pays an invoice when the work is signed off. Each step leaves a document behind, and the document is what protects the plumber when a customer disputes a price or a warranty claim lands two years later. The quote needs the scope, the fixtures, the exclusions and how long the price holds. The contract on a larger job adds the licence number, the compliance certificate the plumber will lodge, variations and the payment stages. The invoice has to be a valid tax invoice once the business is registered for GST.
And what it needs online
Online, a small plumbing business needs fewer things than it thinks: a page that lists common jobs with honest starting prices, a way to request a visit that collects the address and the problem in one go, and a way for a customer to accept a quote without printing it. The examples below cover both sides. Every card opens a complete example rather than a description, so the wording, the line items and the layout can be judged before anything is copied.
Who the kit is for
The kit suits a sole trader or a small crew doing residential service work, hot water, drainage and bathroom jobs. A larger commercial plumbing contractor will still use the quote, contract and invoice, but will add tender documents and safety paperwork for each site. The examples are Australian, priced in dollars with GST at 10%, and each one names the state rules it was written against.

Site visit booking form
Site inspection booking form for an electrician's quoteA booking form that collects the address, access and photos before the inspection, built for a trade quote visit.
Warranty claim form
Warranty claim form that gets a decision in one replyFor the calls that come back after the job: the product, the install date and photos in one submission.
The order the paperwork comes in
Start with the quote, because it is the document a plumber writes most often and the one customers compare. Keep the call out fee and the labour rate visible, list parts as separate lines, and set how many days the price holds. When the job is bigger than a day or touches a bathroom, move to a works contract and attach the quote as the price schedule. After that comes the deposit invoice, then the final invoice, then the warranty paperwork if anything comes back. The flyer and the website sit before all of this and do one job each: get the phone to ring with the right kind of work.
Licences, certificates and GST
Plumbing is licensed state by state, so the licence number belongs on the quote, the contract and the invoice. Most states also require a compliance certificate after regulated work, and the contract should say who lodges it and when. Once turnover reaches the GST threshold the business must register, and every invoice over 82.50 dollars including GST has to work as a tax invoice: the ABN, the words tax invoice, the date, a description and the GST amount. The examples here are written to that standard so they can be checked against the ATO list line by line.
Where the kit saves the most time
The biggest saving is between the quote and the invoice. In the proposal builder a quote is sent as a tracked link, the customer can tick optional extras such as a tempering valve and accept with a drawn signature, and acceptance with a deposit issues the deposit invoice straight away. The plumber does not retype anything to bill the job. Card payment through Stripe Checkout needs a paid plan and a connected Stripe account; bank details on the invoice work on every plan.

Questions people ask
What should a plumbing quote include?
A plumbing quote should name the business, its licence number and ABN, the customer and site address, the scope in plain words, each fixture or part as its own line, labour, the call out fee if one applies, exclusions such as concealed damage, GST, the total, any deposit and how long the price holds. Without the exclusions and the validity date, most disputes have nothing to settle them.
Do plumbers need a written contract for every job?
Not for every job, but most states require a written contract for residential work above a set price, and the threshold differs between states. A short quote that the customer accepts in writing covers small call outs. For renovations and anything near the threshold, use a works contract with a scope, payment stages and a variations clause, and check the current figure with your state regulator.
How much deposit can a plumber ask for?
For residential building and plumbing work several states cap the deposit, commonly at 10% for larger contracts and sometimes 5% above a certain price. Outside those rules a deposit that covers ordered materials is usual. Put the percentage on the quote so the deposit invoice matches it, and check your state fair trading or building regulator for the exact cap.
Can a customer sign a plumbing quote on their phone?
Yes. A quote sent from the proposal builder opens as a page on the phone, and the customer accepts with their name, email and a drawn signature. For larger jobs the quote can go through e-signing instead, where the customer confirms with a code sent to their email and gets a certified PDF of the signed quote when it completes.
What makes a plumber flyer work?
A plumber flyer works when it answers three questions at a glance: what jobs you do, which suburbs you cover and how fast you come. Put the licence number on it, give one starting price people recognise, such as a blocked drain or hot water call out, and print it at A4 for letterboxes and square for Instagram from the same design.
