Work Experience Agreement, Riverbend Veterinary Hospital

Work experience agreement template for a Year 10 student placement

A work experience agreement template sets out when and where a school student will be, who is responsible for them, what they may and may not do, and who covers them if they are hurt. In Victoria it sits alongside the Department of Education arrangement form, and for a student under 18 a parent signs as well.

It sits alongside the Department of Education work experience arrangement form, which the school principal also signs and which must be complete before the placement starts.

1.1
Dates
The placement runs from Monday 23 November to Friday 27 November 2026, five days in total, all at 61 Mair Street, Ballarat. The Student does not travel in a Clinic vehicle or attend farm calls.
1.2
Hours
The Student attends from 8.30 am to 4.00 pm each day, with a 30 minute lunch break at 12.30 pm and a 15 minute break mid morning. The Student is never asked to stay later, to start earlier or to attend on the weekend.
2. Supervision
2.1
Supervisor
Dr Ellen Marsh, Senior Veterinarian, is the Student’s supervisor and is responsible for the Student for the whole placement. When she is in surgery, Tom Fielding, Head Nurse, supervises. The Student is never left alone with an animal or a client, and the Clinic calls the school coordinator, Mr Daniel Okafor, and the parent if the Student is unwell, injured or absent.
2.2
Induction on the first morning
Before any task, the supervisor shows the Student the fire exits, the first aid kit, hand washing and hygiene rules, the areas the Student may not enter, and how to report an injury or a bite.
3. What the Student will and will not do
The Student may
The Student will not

4. No wage and no employment
4.1
Not employment
The placement is part of the Student’s schooling and is not employment. The Student receives no wage and does no work the Clinic would otherwise pay someone to do.
4.2
The daily payment
The Clinic pays the Student the $5 a day the Department sets for work experience, $25 in total, on the last day. It is a contribution to expenses, not a wage.
5. Insurance
5.1
Injury and public liability
If the Student is injured during the placement, a claim is made under the Department of Education’s WorkSafe insurance policy, not the Clinic’s, and the Clinic reports the injury to the school the same day. The Department also holds public liability insurance of at least $10 million an event for a government school placement, covering the Student and the Clinic.
6. Conduct and confidentiality
6.1
Conduct
The Student follows the supervisor’s directions, the Clinic’s hygiene rules and the school’s code of conduct. Either the Clinic or the school may end the placement early if it is unsafe or not working, after speaking to the parent.
6.2
Confidentiality and photos
The Student does not share client names, animal details or photos taken at the Clinic, including on social media. The Clinic will not photograph the Student without the parent’s written consent.
6.3
Report to the school
At the end of the week, Dr Marsh completes the school’s one page employer report on the Student’s attendance, punctuality and interest. A copy is given to the Student and the parent.

How to adapt this document

For a workplace with machinery or vehicles, such as a farm or workshop, add rows to the will not do column naming each machine, and require closed footwear and eye protection in clause 3.1. For a student aged 18 or over, remove the parent party and the parent signature, and collect a tax file number declaration as the Department requires. For a non government school, check the school's insurance arrangements, because the employer may need to hold its own public liability cover of at least $10 million for the placement.

Which law the terms follow

The artifact is written for a Victorian government school placement. Work experience arrangements are made under the Education and Training Reform Act 2006 (Vic) and the Ministerial Order on work experience, which the Department of Education applies through its arrangement form, age limits, payment of $5 a day and insurance. Students are covered for injury by the Department's WorkSafe policy. Because the placement is part of the student's education, it is not employment under the Fair Work Act 2009.

What makes this document work

The tasks table answers the parent's first question

Five things she may do, from restocking kennels to observing surgery from behind the theatre window, set against five she will not, including restraining animals, handling sharps or medicines and entering the X ray room while in use. A parent can see the risk boundaries at a glance.

No wage, and the payment explained

Clause 4.1 says the placement is part of schooling and not employment, with no work the clinic would otherwise pay for. Clause 4.2 explains the $5 a day the Department sets, $25 in total, as a contribution to expenses rather than a wage, so the two statements do not contradict each other.

Insurance is assigned before anything happens

Clause 5.1 says an injury claim goes to the Department of Education's WorkSafe policy, not the clinic's, and that the Department holds at least $10 million of public liability cover per event for the student and the clinic. The clinic knows its premium is not at risk, which makes it easier to say yes.

Questions people ask

Who signs a work experience agreement in Victoria?

The Department's arrangement form is signed by the employer, the student, a parent or carer if the student is under 18, and the principal or nominee, and must be complete before the placement starts. This agreement is the clinic's own document alongside it, so it is signed by the clinic, the student and the parent, with the principal signing the form.

Is a work experience student an employee?

No. A placement that is part of a student's schooling and authorised by the school is not employment under the Fair Work Act, so no award wage is owed. That holds only while the placement is genuinely for learning, which is why clause 4.1 says the student does no productive work the clinic would otherwise pay someone to do.

Why is a student on unpaid work experience paid $5 a day?

Because the Victorian Department of Education sets a minimum payment of $5 a day for students on work experience, except for some Commonwealth placements. It is a contribution to costs such as lunch and travel, not a wage, and paying it does not turn the placement into employment.

What age must a student be for work experience?

In Victoria, students undertaking work experience must be at least 14. Younger students have limits on the hours they can attend, including no work before 6 am or after 9 pm for 14 year olds. The student here is 15 and attends from 8.30 am to 4.00 pm, well inside those limits.

What tasks should a vet clinic keep a student away from?

Anything with a high injury risk or a legal restriction: restraining animals, handling fractious animals, sharps, scheduled medicines and chemicals, and radiation areas while equipment is in use. The table lists those and sets observation, cleaning and reception work instead, all with a nurse or vet present.
