1. Minutes of the previous meeting
The minutes of the meeting held on [Date] were taken as read. One correction was noted: item 6 should record the maintenance contract value as $412,000, not $421,000.
Resolution 2026-31. That the minutes of [Date] be accepted as a true record, subject to the correction to item 6. Moved [Director 1], seconded [Director 2]. Carried unanimously.
2. Finance report
The CFO presented the July result. Rent collection sits at 97.4 percent, up from 96.1 percent in June. Maintenance spend is $84,000 over budget year to date, driven by four unplanned roof repairs at the [Location] properties.
Resolution 2026-32. That the July finance report be received, and that management bring a revised maintenance forecast to the September meeting. Moved [Director 3], seconded [Director 1]. Carried unanimously.
3. [Location] roof programme
The CEO reported that four of the eleven [Location] roofs have failed inspection. Quotes for a staged replacement came in between $640,000 and $710,000. Directors discussed whether to stage the work over two financial years or fund it in one.
[Director 4] joined the meeting at 6.05pm and declared an interest: her brother is a director of one of the three firms that quoted. She left the room for the vote.
Resolution 2026-33. That the board approve a staged roof replacement to a value of $680,000, funded $340,000 in FY27 and $340,000 in FY28, and that the tender exclude the firm in which [Director 4] declared an interest. Moved [Chair name], seconded [Director 2]. Carried, [Director 4] abstaining.
4. Tenant satisfaction survey
The 2026 survey drew 412 responses, a response rate of 38 percent. Overall satisfaction is 79 percent, up two points. Repairs timeliness remains the lowest scoring area at 61 percent. Management will report a response plan in October.
