Weekly timesheet, week ending 23 August 2026
Weekly timesheet
An electrician records a week across two jobs and a Saturday callout. The same 46.50 hours are counted twice, once for the pay run and once for the customers, and the sheet only works if both agree.
The document, page by page
Every page as it renders and as it prints, with nothing summarised. Read the wording before you reuse it.
Section by section
What each section is for, so you can keep the ones you need and drop the rest.
- Company band
- Trading name, electrical licence number and payroll address, on every page because a timesheet is often faxed or photographed a page at a time.
- Week ending and hour totals
- The week end date with ordinary, overtime and total hours, so an approver can see the shape of the week before reading a single row.
- Employee and approval
- Who worked, their classification and agreement, then who approved it, when it was submitted and which pay cycle it lands in.
- Daily record
- Seven rows with start, break, finish, hours and job number, including the Sunday at zero so the week is visibly complete.
- Week summary note
- One paragraph naming the jobs, the overtime approval and why the unworked day still appears.
- Hours by job
- The same time re-cut by job number and site, split into ordinary and overtime, which is the view that gets invoiced.
- Allowances claimed
- Tool, meal, height and first aid allowances with the number of days and the rate each is paid at.
- Notes for the week
- Three entries explaining the long Wednesday, the lift work behind the height claim, and what was actually done on the Saturday callout.
- Rules the sheet is checked against
- Quarter hour rounding, the unpaid break, prior approval for overtime and the four hour callout minimum.
- Declaration and approval
- A statement the employee signs about hours and breaks actually taken, then a separate supervisor approval block.
What makes this document work
The same hours are counted twice
Once by day, which is what payroll pays, and once by job number, which is what the customer is invoiced. Both totals land on 46.50, and a sheet where they do not is wrong somewhere.
Overtime carries its approval with it
The note for Wednesday names the supervisor, the reason the switchboard could not be energised until three, and the fact that the extra hour was agreed before it was worked.
Each allowance names what triggered it
Height allowance on three days is tied in the notes to the scissor lift work above the loading dock, and the Saturday callout is claimed at the four hour minimum with the actual two hours written down.
Questions people ask
What should a timesheet record?
Start, unpaid break and finish for each day, the hours that come out of that, and which job the time belongs to. Anything paid at a different rate, like weekend or overtime hours, has to be separable from ordinary time.
How long do employers have to keep timesheets?
Employee time and pay records have to be kept for seven years in Australia, be legible in English, and not be altered unless the change is to correct an error.
Does a timesheet need to be signed?
A signature is not what makes it valid, but an approval step is what makes it trustworthy. Here the supervisor approves it in the system with a timestamp and signs the printed copy as well.
What is the difference between a timesheet and a payslip?
The timesheet is the claim, written by the person who did the work and approved by someone else. The payslip is the outcome, issued by the employer after the rates and tax have been applied to it.

Purchase order
A civil contractor buys structural steel for a job that starts in three weeks. The order is written by the buyer, not the seller, and almost everything on it exists to stop a surprise arriving on the truck.
Tax invoice
Lantern Creative bills Meridian Property Partners $19,437 for six branding and website lines. Both ABNs are printed, the buyer’s purchase order PO-8842 is quoted, and the due date is 14 days after issue. Everything an accounts payable team checks before paying sits in one block above the table, and the bank details sit under it.
Payment receipt
A bike workshop hands this over with the bike. It records money already taken rather than money owed, and it is the piece of paper the customer needs again if a fitted part fails.
