Landscaping business templates, quote to maintenance round

A landscaping business sells two kinds of work: one off builds that need a quote and a contract, and repeat maintenance that needs a service agreement. This kit links finished examples of both, plus the flyers and the proposal presentation that win them.

Two businesses in one

Most landscapers run a construction business and a maintenance business side by side. The construction side quotes garden makeovers, retaining walls, paving and planting, and needs a contract that covers the plant schedule, the site access and how long the landscaper will replace plants that fail. The maintenance side sells mowing, edging and garden care on a round, and needs a short service agreement that sets the visit frequency, the price per visit and the notice period. The paperwork for each looks different, and mixing them up is a common cause of disputes.

Winning the work

The marketing is simple and local. A flyer in the right streets in early spring, a quote that shows the plants and materials by line, and for larger jobs a short presentation with the planting plan, which helps a client picture the finished garden. Clients rarely compare landscapers on price alone; they compare on whether the quote shows what they are getting, and whether the landscaper will still answer the phone when a plant dies in the first summer. That is why the examples in this kit itemise plants, materials and labour instead of giving one lump sum.

Who the kit is for

The kit is written for small Australian landscaping and garden maintenance businesses, priced in dollars with GST at 10%. Structural landscaping such as retaining walls over a certain height is licensed in some states, so check your state rules before quoting it. Each card opens the complete example rather than an outline, so the wording can be judged as it reads, and the flyers can be resized from A4 to a square social post without redrawing them.

The kit, piece by piece

Quote the plants by name

A landscaping quote reads better when the plant schedule is visible. Group the work into site preparation, hard landscaping, soft landscaping and irrigation, then list plants by species, pot size and quantity. Show turf in square metres and mulch in cubic metres. Clients can then see exactly where the money goes, and a variation later, such as swapping a hedge species, is easy to price against the original line.

Contracts for builds, agreements for rounds

A build needs a contract because it changes the property: it should cover access, underground services, who removes spoil, what happens in wet weather and the establishment period. A maintenance round needs a lighter service agreement: the visit frequency, what each visit includes, the price, how a missed visit is handled and the notice period. The two examples in this kit show each, and the mowing agreement is written for a strata client because strata committees ask for written terms.

Getting paid on time

Landscaping builds often take several weeks, so a deposit and one or two progress invoices protect cash flow. In the proposal builder a client accepts a quote online, and acceptance with a deposit issues the deposit invoice at once. For maintenance rounds, a monthly invoice with the visits listed is simplest; the proposals module has no recurring invoices, so each month is issued as its own invoice with the reminders set to a gentle or standard schedule.

Questions people ask

What should a landscaping quote include?

A landscaping quote should include the site address, a description of the design, site preparation, hard landscaping items, a plant schedule with species, sizes and quantities, irrigation, mulch and soil volumes, labour, exclusions such as rock or underground services, GST and the total. Add the deposit, how long the price holds and the plant establishment period.

Do landscapers need a licence?

It depends on the work and the state. General garden maintenance usually needs no licence, while structural landscaping such as retaining walls, paving, pergolas or drainage can be licensed work. In Queensland, for example, the QBCC licenses structural landscaping. Check your state regulator before quoting structural work.

How long should a plant establishment period be?

Many landscapers offer 8 to 13 weeks, during which they replace plants that fail despite proper watering. The contract should say who waters, what counts as a failure and what is excluded, such as storm damage or pets. The landscaping contract in this kit sets a 12 week period with those conditions written out.

How do I price a mowing round?

Price per visit based on the time on site, travel between clients and green waste disposal, then set the frequency in the agreement. A fortnightly visit in the growing season and monthly in winter is common. Put the inclusions, such as edging and blowing paths, in the agreement so extra work is clearly charged separately.

Can I send a landscaping proposal with pictures?

Yes. For larger jobs a short presentation with the planting plan, mood images and the price helps the client picture the result. The landscaping proposal presentation in this kit shows that format. The presentation can be shared as a link or exported to PDF, and the formal quote is sent separately for acceptance.
