Roofing business templates for restorations, repairs and gutters

A roofing business works at height, in the weather and on parts of a house nobody can see from the ground. This kit links finished examples of the quote, the contract, the safety paperwork, the flyers and the inspection report that work runs on.

What roofing work needs in writing

Roofing customers cannot see the work they pay for, which makes the paperwork do more than usual. The inspection report shows what is wrong, with photos, before any price is given. The quote lists the repairs, the materials and the access equipment. The contract adds a weather rule, because a roofer cannot work in rain or high wind, and a clause for hidden damage such as rotten battens found once tiles are lifted. After the job, an invoice and often a written warranty close it out.

Safety comes first on paper too

Work on a roof is high risk construction work almost every time, so the business needs a safe work method statement before a ladder goes up, and fall protection that matches it. A principal contractor on a larger site will ask to see that document. The safe work method statement example in this kit is laid out as tasks, hazards and controls with a sign off, the format inspectors and builders expect to read. A copy kept in the van means the crew can show it on the spot when a builder or inspector asks, rather than promising to send it later.

Who the kit is for

The kit is written for Australian roof restoration, repair, re roofing and gutter businesses, priced in dollars with GST at 10%. Roof tiling, roof plumbing and metal roofing are licensed in many states under different classes, so the licence number belongs on the quote and the contract. Each card opens a finished example, so the scope, the weather rule and the prices can be read in full before anything is adapted.

The kit, piece by piece

Inspect, photograph, then quote

The roofing quotes that win most often follow an inspection report with photos. The customer sees the cracked tiles, the loose ridge capping and the rusted valleys, then reads a quote that fixes each one. Keep the inspection report and the quote in the same order so the customer can match them, and list access equipment such as scaffolding as its own line, because it is the item customers question most.

Weather, hidden damage and time

A roofing contract needs two clauses most trade contracts can skip. A weather rule sets out that work stops in rain or high wind and that the finish date moves with it. A latent conditions clause decides who pays when the work uncovers damage nobody could see, such as rotten battens or a failed sarking. The clause pages in this kit explain each with sample wording, and the roofing contract shows them working together.

From the roof to the bank

Roof restorations are usually paid with a deposit and a balance. In the proposal builder, acceptance with a deposit issues the deposit invoice straight away and keeps a draft balance invoice for the end of the job. The customer can accept on a phone with a drawn signature, or sign through e-signing with an email code for larger jobs. Reminders follow up a late balance on a schedule the roofer chooses.

Questions people ask

What should a roofing quote include?

A roofing quote should include the roof type and area, the findings of the inspection, each repair as a line, materials and coatings, the number of coats, access equipment such as scaffolding, waste removal, exclusions such as hidden damage, GST, the total and the deposit. State any warranty and how long the price holds.

Do roofers need a safe work method statement?

Yes, in almost every case. Work on a roof where a person could fall more than two metres is high risk construction work, which needs a safe work method statement before it starts and controls such as edge protection or harnesses. Keep the statement on site and have workers sign that they have read it.

Who pays for hidden roof damage?

The contract decides. A latent conditions clause usually says that damage which could not reasonably be seen at inspection is a variation, priced and agreed before the extra work is done. Without that clause, the roofer may have to absorb the cost or argue about it after the fact.

How do roofers handle rain delays?

The contract should allow the finish date to move for weather that makes roof work unsafe, without penalty, and require the roofer to make the roof watertight at the end of each day. An extension of time clause sets out how the new date is notified and agreed.

Should a roofer offer free inspections?

Many do, because the inspection report is what wins the job. Make the inspection useful even if the customer does not proceed: photos, condition ratings and a short list of urgent items. The roofing flyer in this kit leads with a free inspection offer for that reason.
